    Description

    Position: The Recruitment & Enrollment Coordinator is a temporary full-time position covering a family leave with an expected end date of November 20th, 2026. This position reports to the Recruitment & Enrollment Manager and is a hybrid role.

    Job Summary: We seek a temporary Recruitment & Enrollment Coordinator to support the full recruitment-to-enrollment pathway, from outreach and applicant processing to onboarding, ensuring annual enrollment targets are met across HSTF programs.

    Responsibilities:

    Recruitment

    • Support the HSTF Recruitment Committee
    • Identify and engage prospective participants; represent HSTF programs to external audiences
    • Support execution of recruitment events and related projects
    • Provide program tours & calls with incoming participants when scheduled
    • Coordinate with Communications Coordinator, with approval from Executive Director, to update the website with open enrollment information, purchase recruitment materials, and post recruitment info to social media

    Enrollment

    • Contact applicants and their families to advance the enrollment process via calls, paperwork, and follow-up reminders
    • Review & process incoming applications, forms, and documentation from potential program participants daily
    • Flag data migration issues in Salesforce to the Director of Operations or Deputy Director
    • Compile participant files for final approval from the Finance Team
    • Keep the enrollment tracking systems in Salesforce & Airtable up to date and communicate with Program Team members regarding paperwork outreach to prospective participants
    • Complete enrollment tasks for upcoming program start dates, including: sharing reports, updating the texting platform
    • Complete disenrollment tasks for any outgoing participant in our programs
    • Maintain the enrollment workflow and work with the Recruitment & Enrollment Associate to ensure that enrollment numbers are met while seeking support from Deputy Director when needed
    • Ensure incoming participants are successfully welcomed

    Organizational Responsibilities

    • Support implementation of strategic recruitment and enrollment goals
    • Contribute to the quarterly Recruitment and Enrollment report
    • Prepare program welcome materials (e.g., swag bags) for incoming participants
    • Participate actively in team meetings, committees, organizational events, and other opportunities as assigned
    • Provide support to the Program Associate

    Qualifications

    • Associate’s or Bachelor’s degree in a related field (e.g., education, communications, nonprofit management, or similar) or 1-3 years of relevant experience in recruitment, enrollment, or customer service
    • Experience in youth development and working with families highly preferred
    • Commitment to uplifting youth voice, creativity, and leadership, particularly within Afro-Latin communities

    Skills & Abilities

    • Ability to work independently and cross-functionally
    • Strong communication skills, with the ability to engage effectively and respectfully with youth, families, and colleagues from diverse cultural and socioeconomic backgrounds
    • Excellent organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced, youth-centered environment
    • Strong administrative and project coordination skills, including managing high-volume workflows and processes
    • Problem-solving skills with the ability to adapt, stay flexible, and maintain a positive, solutions-oriented approach
    • Proficiency with computer systems and databases; experience with Customer Relations Management (CRM) tools preferred
    • Reliable, with strong time management and follow-through
    • Bilingual in Spanish and English preferred

    Benefits

    This is a temporary, full-time, non-benefited position. The employee will accrue Massachusetts Earned Sick Time in accordance with state law.

    Level of Language Proficiency
