    Hours: 30 hours/week | Status: Exempt

    Salary: $56,699.00/year

    Benefits: Paid vacation and sick time; 10% UUA retirement contribution after 1 year; $10,800/year non-accountable reimbursement; $1,125/year professional expenses

    Supervises: Office Manager, Rental Coordinator, Facilities Team, Bookkeeper (contractor)

    Position Overview

    The Church Administrator (CA) is the senior administrative staff member, responsible for overseeing church administration, financial operations, human resources, and facilities management. The CA works closely with staff, volunteers, and church leadership to ensure effective, ethical, and compliant operations. Attendance at Sunday services at least once per month is expected to build relationships within the congregation.

    Key Responsibilities

    Human Resources & Payroll

    • Partner with the volunteer Personnel Committee to ensure compliant HR practices
    • Administer payroll, benefits, time off, and employee records using ADP
    • Manage hiring, onboarding, and offboarding processes
    • Support employee contracts, compensation reviews, and HR-related special projects

    Financial Operations & Risk Management

    • Oversee accounts payable, reimbursements, contractor payments, and billing
    • Supervise the bookkeeper and ensure accuracy across QuickBooks, banking, and databases
    • Maintain donor, pledge, and financial records (Breeze) and oversee required reporting
    • Support audits, internal controls, fraud prevention, and regulatory compliance
    • Manage endowment contributions and financial risk programs

    Facilities & Operations

    • Coordinate facilities maintenance and repairs with staff and volunteers
    • Oversee facility scheduling, rentals, vendors, keys, and emergency procedures
    • Supervise Rental Program & Facilities staff to balance mission alignment, risk, and sustainability
    • Ensure appropriate insurance coverage and manage church legal matters

    Governance & Administration

    • Serve as contract signatory and member of the Operations Team
    • Maintain records and filings required for nonprofit and 501(c)(3) compliance
    • Prepare monthly Administrator reports and attend Board and committee meetings
    • Support strategic planning and church leadership initiatives

    Communications & Systems

    • Administer church technology platforms (e.g., Google Workspace, Breeze, Zoom, Mailchimp, website)
    • Publish Board minutes and maintain basic website updates
    • Lead staff meetings and ensure timely, effective communication

    Skills & Experience Required

    • At least 4 years of administrative experience, preferably in a nonprofit or faith-based setting
    • Experience improving systems, supporting volunteers, and managing operations
    • Knowledge of HR best practices and nonprofit financial processes
    • Strong leadership, communication, and organizational skills
    • Proficiency with ADP, Microsoft Office, databases, and email platforms
