    Overview

    The Program Coordinator for the HomeFirst Downpayment and Closing Cost Assistance Program supports the administration and day-to-day coordination of the HomeFirst program. This role is responsible for managing application intake, verifying eligibility, coordinating documentation, and supporting the closing process to ensure program participants successfully move from application to funding.

    The Program Coordinator works closely with applicants, housing counselors, lenders, attorneys, and internal program staff to ensure applications are processed accurately and in compliance with program requirements. This position plays a key role in supporting first-time homebuyers and maintaining the integrity and efficiency of the HomeFirst program.

    Key Responsibilities

    Program Administration

      • Coordinate the intake, review, and processing of HomeFirst down payment assistance applications.
      • Verify applicant eligibility and supporting documentation in accordance with program guidelines and requirements.
      • Maintain accurate and organized program records, case files, and databases.
      • Monitor program activity and track application status, approvals, and disbursements.
      • Prepare reports and maintain documentation necessary for internal monitoring and compliance.

    Participant and Partner Coordination

      • Serve as a point of contact for applicants, housing counselors, lenders, and other program partners.
      • Guide applicants regarding program requirements, timelines, and documentation.
      • Respond to inquiries and assist participants throughout the application and approval process.
      • Identify and resolve issues that may delay application processing and escalate complex cases as needed.

    Closing Preparation and Compliance

      • Prepare and review closing documentation related to down payment assistance, including promissory notes and mortgage/security instruments.
      • Coordinate with lenders and attorneys to support accurate and timely closings.
      • Confirm program compliance prior to closing and authorize funding disbursements as appropriate.
      • Ensure post-closing documentation is received, recorded, and properly filed.
      • Maintain detailed records of closing packages and funding releases.

    Qualifications

      • Associate’s or Bachelor’s degree in housing, public administration, business administration, or a related field preferred; equivalent experience will be considered.
      • 1–2 years of experience in housing counseling, case management, program coordination, or a related field.
      • Familiarity with affordable housing programs, homebuyer assistance programs, or mortgage processes preferred.
      • Strong organizational and administrative skills with attention to detail.
      • Strong written and verbal communication skills.
      • Ability to manage multiple tasks and deadlines in a fast-paced environment.
      • Ability to work independently and collaboratively as part of a team.
      • Proficiency in Microsoft Office (Word, Excel, Outlook) and experience working with databases or case management systems.
