Who We Are Looking For – Position Overview
AJR seeks an experienced administrative assistant to join our team. The Administrative Assistant provides support for the main office operations including and not limited to general and academic administration and our institutional programs and events.
The successful candidate will be an organized and collaborative worker who can manage tasks, assignments and projects under supervision in a fast-paced workflow environment. Reliability, attention to detail, computer proficiency and proactive thinking are key to the position.
The Administrative Assistant reports to the Senior Director of Administration.
What You Will Be Doing – Sample Responsibilities
General office work delegated by the Senior Director of Administration
- document drafting, preparation, formatting and management
- email correspondence and document recording and filing related to trimester faculty
- create and manage excel files and event trackers for trimesters, programs and events
- maintain server filing systems
- maintain shared calendar (for PTO, programs and events, board meetings, as needed)
- inventory and procurement - monitor and order office supplies, coordinate maintenance for office equipment
- special projects - support academic, administration and finance staff with program and event planning
- mail (open, distribute, scan), mailings as needed from office and post office, FedEx
- help with logistics and set up for onsite programs, onsite at AJR or at off-site venue
Skills You Need for the Position – Qualifications and Requirements
- Basic technology facility and proficiency with MS Office Suite (Word, Excel), pdf, Google Workspace, Constant Contact, and basic office equipment
- time-management skills, ability to juggle multiple projects, meet deadlines
- communication skills, professional email and telephone etiquette
- discretion - ability to handle confidential and sensitive information
- comfort interacting with diverse populations
When You Will Be Working – Work Hours (with possibility of changing to full time)
- Monday – 9 am – 6 pm, onsite at AJR in Yonkers
- Tuesday, Wednesday, Thursday – 9 am – 6 pm, remote
- Special programs and events – onsite at AJR or venue as needed, approx. 6 programs per year
How You Will Be Compensated for Your Work
- Salary $48k - 50k annually, plus over-time as agreed to when needed
