    What We Need

    Cascade Bicycle Club is seeking a flexible and detail oriented team player to serve as the next Operations Coordinator. The Operations Coordinator will serve this dynamic, well-established, and respected organization by supporting the Finance and Operations team in insurance, human resources administration, and office operations.

    Cascade Bicycle Club, the nation's largest statewide bicycle nonprofit, is 9,500-members, 56-years old, and 52-staff strong, serving bike riders of all ages and abilities throughout the state of Washington. We teach the joys of bicycling, advocate for safe places to ride, and produce community rides and events. Our signature programs include the Seattle to Portland ride, the Pedaling Relief Project, advocacy for connected trail networks and on-street bike networks in Seattle and across the Puget Sound Region, Free Group Rides, Adult Classes, Let's Go, and the Major Taylor Project.

    What You’ll Bring

    Duties and Responsibilities

    Office & Operational Support (50%)

    • Support day-to-day office operations, ensuring smooth functioning of office systems, equipment, and workspace logistics.
    • Coordinate onboarding and offboarding logistics, including equipment setup, system access, and workspace preparation.
    • Maintain inventory of office equipment and supplies; coordinate repairs, replacements, and vendor services as needed.
    • Serve as a liaison with building management, service providers, and operational vendors.
    • Maintain emergency preparedness documentation and support coordination of required safety training(s).
    • Assist with implementation of operational improvements, system upgrades, and workflow enhancements.
    • Manage daily mail including checks received documentation.

    Administrative Support – HR Manager & Finance/Operations (30-35%)

    • Provide administrative and project support to the HR Manager and Finance & Operations team.
    • Coordinate scheduling, documentation preparation, and follow-up related to HR and operational initiatives.
    • Maintain accurate HR records, personnel files, and compliance documentation.
    • Support benefits administration processes, including enrollment tracking, invoice coordination, and employee communications.
    • Assist with preparation of reports, data tracking, and documentation needed for audits, renewals, and annual filings.
    • Support workers’ compensation, unemployment claims, and leave tracking processes.
    • Assist in maintaining operational policies, procedures, and internal documentation.
    • Cross-train within the Finance and Operations Department to serve as additional support for payroll, tech set up, and the handling of administrative credentials.
    • Provide administrative coordination for annual reporting requirements, including the Public Benefit Report, WA State Annual Report, and similar reports.
    • Manage business license renewals, Secretary of State filings; maintain compliance calendar.

    Business Insurance Lead (15-20%)

    • Serve as the primary point of contact for all organizational insurance policies, including general liability, D&O (Directors & Officers), workers’ compensation, and other business coverages.
    • Manage annual insurance renewals, applications, documentation collection, and broker communications.
    • Track certificates of insurance and fulfill internal and external requests.
    • Create and maintain organized insurance records and ensure policy documentation is current and accessible.
    • Support claims coordination and documentation in partnership with leadership and external providers.
    • Monitor coverage requirements to ensure compliance with contracts, leases, and funder obligations.

    Skills and Competencies

    • Strong organization and administrative coordination skills; able to manage multiple processes, deadlines, and documentation requirements simultaneously while maintaining accuracy and attention to detail.
    • Strong written and oral communication skills, with the ability to clearly explain policies, procedures, insurance requirements, and operational processes to staff and external partners.
    • Strong problem solving skills, with the ability to improve administrative systems, identify operational gaps, and support practical, equitable solutions.
    • Demonstrated ability to build collaborative working relationships with staff, vendors, brokers, building management, and external partners in a professional and service-oriented manner.
    • Demonstrated commitment to applying racial, gender, and economic justice lenses in workplace practices and operational systems.
    • Demonstrated competence in supporting HR and finance-related administrative functions, including benefits tracking, insurance coordination, reporting, and compliance documentation
    • A collaborative and flexible style, with a strong service mentality.
    • Ability to adapt to changing priorities and support cross-functional teams.
    • Ability to maintain professional boundaries, exercise sound judgment, and handle confidential information with discretion and integrity.

    Qualifications

    • 1-3 years of professional experience in Human Resources, operations, business administration, or a related field, including experience supporting recruitment, benefits administration, employee records, insurance coordination, or office operations.
    • Working knowledge of employment laws and regulations (e.g., FMLA, ADA, PFML, workers’ compensation, unemployment, I-9 requirements) and the ability to apply policies accurately while escalating complex issues as appropriate (preferred).
    • Demonstrated ability to build collaborative relationships and provide responsive administrative support to staff, managers, vendors, brokers, and external partners.
    • Experience maintaining organized systems and documentation, managing multiple priorities, and supporting improvements to administrative or operational workflows.
    • High level of discretion, confidentiality, and professional judgment, with proficiency in HRIS systems and standard office software (e.g., Microsoft Office or Google Workspace).

    Job Details

    This position is full-time, hourly non-exempt and remote-hybrid eligible. Residence in Washington state and the ability to come into the office three to four days per week are required, with the potential for remote work one to two days per week. Some weekend and evening work may be required. This includes support of Cascade rides and events throughout the year. Typical weekly hours for this position are Monday-Friday, 9 a.m. to 5 p.m.

    Hiring Timeline
