About Philanthropy In Action
Philanthropy In Action (PIA) is a nonprofit organization serving East Texas through fiscal sponsorship and nonprofit capacity building. We work with organizations and community initiatives that are creating positive change in their communities, providing the infrastructure and support they need to pursue their missions.
We are growing, and we are looking for a Director of Operations to help us build the systems and relationships that will support that growth.
About the Position
The Director of Operations will strengthen and develop the operational systems, processes, and infrastructure that support PIA's growth and fiscal sponsorship program.
This is a hands-on opportunity for someone who enjoys building systems, solving problems, improving processes, connecting people and ideas, and turning opportunities into practical solutions.
The Director will initially serve as a member of PIA's leadership team without direct supervisory responsibility. Working closely with the Executive Director, Financial Manager, and Partner Specialist, the Director will learn PIA's fiscal sponsorship models, partner needs, systems, and operations.
As PIA grows and the position develops, responsibilities may expand to include greater program leadership and staff supervision.
Key Responsibilities
Operational Systems and Organizational Development
- Assess, develop, implement, and continuously improve PIA's operational systems and processes.
- Help establish clear roles, responsibilities, and workflows across the organization.
- Develop operational metrics and dashboards that help PIA understand performance and capacity.
- Lead or coordinate projects designed to improve organizational effectiveness.
- Identify operational challenges and work collaboratively with staff and the Executive Director to develop practical solutions.
- Recommend policies, procedures, and practices that support effective fiscal sponsorship and organizational management.
Fiscal Sponsorship Program Development
- Develop a strong working knowledge of PIA's Model A and Model C fiscal sponsorship models.
- Learn the legal, financial, operational, and relationship considerations associated with fiscal sponsorship.
- Identify opportunities to strengthen PIA's fiscal sponsorship services and partner experience.
- Monitor emerging practices and developments in the fiscal sponsorship field and translate useful practices into policies, procedures, training, and resources.
- Contribute to PIA's development as a regional resource for fiscal sponsorship and nonprofit capacity building.
Technology and Information Systems
- Lead the ongoing development and improvement of PIA's technology and operational systems.
- Maximize the effective use of Monday.com, Mazlo, and other organizational platforms.
- Support the development and implementation of PIA's Partner Portal and other digital resources.
- Identify opportunities to use technology and automation to improve organizational efficiency.
Community Engagement and Promotion of Fiscal Sponsorship
- Represent PIA within the East Texas nonprofit and philanthropic community.
- Develop relationships with nonprofit leaders, community organizations, foundations, government agencies, and other potential partners.
- Identify organizations and community initiatives that may benefit from fiscal sponsorship.
- Participate in community meetings, nonprofit networks, conferences, workshops, and other appropriate events.
- Assist with presentations, educational programs, and outreach related to fiscal sponsorship and nonprofit capacity building.
- Help position PIA as a knowledgeable and trusted resource for emerging and established nonprofit organizations.
Partner and Organizational Support
- Work with the Partner Specialist to identify common partner challenges and opportunities for improved training, resources, and systems.
- Assist in resolving operational issues that require coordination across PIA functions.
- Help develop resources that enable partners to navigate PIA's systems and requirements more independently.
- Identify recurring questions or problems that could be addressed through improved processes, training, or technology.
- Support the development of a consistent and high-quality partner experience.
Executive and Board Support
- Work closely with the Executive Director to implement organizational priorities and strategic initiatives.
- Provide operational analysis and recommendations to the Executive Director.
- Prepare operational information, reports, and presentations for the Board of Directors as requested.
- Assist with organizational planning and implementation of Board-approved initiatives.
- Track progress on major operational projects and communicate status, challenges, and recommendations.
Qualifications
Required
- Bachelor's degree or equivalent combination of education and professional experience.
- Three to five years of progressively responsible experience in nonprofit management, operations, project management, organizational development, or a related field.
- Demonstrated ability to organize complex projects, manage multiple priorities, and meet deadlines.
- Demonstrated ability to learn new systems, processes, and areas of knowledge.
- Experience using technology to improve organizational efficiency.
- Excellent written and verbal communication skills.
- Strong interpersonal and relationship-building abilities.
- Sound judgment, discretion, and commitment to organizational integrity.
Preferred
- Experience working with nonprofit organizations.
- Experience with fiscal sponsorship, nonprofit capacity building, grants, or philanthropy.
- Experience developing organizational systems or implementing new technology.
- Experience managing projects from concept through implementation.
- Experience providing training or technical assistance.
- Experience working with emerging or small nonprofit organizations.
- Familiarity with Monday.com, QuickBooks Online, Microsoft 365, or similar cloud-based systems.
Fiscal sponsorship experience is preferred but not required. The successful candidate must demonstrate the ability and willingness to learn the fiscal sponsorship model and the legal, financial, operational, and relationship considerations associated with it.
What Success Looks Like
During the first year, the successful candidate will learn PIA's fiscal sponsorship models and organizational operations, build strong working relationships with the team and community, identify opportunities for improvement, and begin implementing systems and processes that make PIA more efficient, consistent, and prepared for growth.
This is an opportunity to play an important role in shaping a growing organization and helping strengthen the infrastructure available to nonprofit and community initiatives throughout East Texas.
Location: Tyler, Texas / East Texas
Schedule: Monday–Friday, 8:00 a.m.–5:00 p.m., with occasional early morning, evening, or weekend commitments as needed
Salary: $65,000–$75,000 depending on experience
