    Non-profit Accounting Specialist (Part-Time, Remote) $30-$40 DOE, or Outsourced

    DiscNW (Northwest Ultimate Association) is a Seattle-based nonprofit building an inclusive, community-centered ultimate frisbee scene across the Pacific Northwest. Each year, we serve more than 14,000 players through youth and adult leagues, camps, clinics, and tournaments. We run up to 75 events annually, operate with a team of about 10 full-time staff members and dozens of part-time and seasonal employees, and have an annual revenue of over $1.7 million.

    We’re looking for a detail-oriented and reliable part-time (20 hours/week) Non-profit Accounting Specialist to support our financial systems. This role supports day-to-day bookkeeping while also owning key accounting functions, including timely and accurate monthly financial statement production, accruals, fund tracking, and year-end reporting.

    Position Overview

    This position will work approximately 20 hours per week on ongoing tasks, with an additional ~20 hours annually to support budget development and 990 preparation. Work is remote and uses QuickBooks Online. Candidates must be located in Washington state.

    While the schedule is flexible, we’re looking for someone who can maintain a consistent weekly cadence and be available to connect with DiscNW’s Executive Director and Treasurer as needed.

    Beyond the technical skills, we’re looking for someone who:

    • Values accuracy and clarity, especially when others are relying on the information
    • Can work independently while staying connected to a small team
    • Understands that strong financial systems support access, equity, and long-term sustainability
    • Can speak to the broader story of the financials more than simply reporting on the debits and credits
    • Is comfortable in a community-centered organization where relationships matter

    Responsibilities include, but are not limited to:

    Weekly

    • Enter credit card charges in QuickBooks
    • Enter bank and online deposits, including in-kind donations
    • Prepare and process vendor payments, including credit card payments, for approval by authorized check signer(s)

    Monthly

    • Reconcile bank, investment, and petty cash accounts and obtain sign-off from the Executive Director on their review each month
    • Reconcile and process staff credit cards with timely receipts provided by staff
    • Reconcile contribution and donation receivables as necessary
    • Review account bank account activity and transfer funds as needed to manage liquidity needs
    • Work with the Executive Director to produce and distribute budget-to-actual reports by program, as well as provide month-to-date and year-to-date budget-to-actual reporting in the monthly financial statements

    Ongoing / Monthly Close Support

    • Record and manage deferred revenue
    • Track prepaid expenses and allocate them appropriately over time
    • Deliver monthly, quarterly and annual financial statements to the Executive Director, Treasurer and Finance committee. Assist in creation of and monthly updates to a simple financial dashboard for regular board reporting.
    • Track and reconcile restricted and unrestricted funds, including proper release of restricted funds when conditions are met
    • Review payroll reports for accuracy and coordinate with payroll provider and Executive Director on corrections, and year-end reporting
    • Ensure all state and federal payroll tax reporting is submitted accurately and timely
    • Track and report any applicable sales and use tax and maintain awareness of Washington nonprofit compliance requirements
    • Help maintain and improve internal financial controls, including documentation and approval processes, including a monthly signoff by Executive Director on close package
    • Flag inconsistencies or potential issues proactively
    • Assist with grant tracking, including revenue and expenses aligned to grant budgets, and support basic reporting in coordination with development staff
    • Participate in the Finance Committee meeting of the board of directors in order to provide insight into the financial condition, along with the Executive Director

    Annually

    • Work with outside agency, if necessary, to prepare and file IRS Form 990
    • Ensure timely submission of 1099s to vendors by the annual deadline
    • Prepare financial statement audit or financial review schedules and documentation as necessary, and support coordination with auditors in partnership with the Executive Director and Treasurer
    • Enter annual budget projections into QuickBooks
    • Support budget development collaboratively with the Executive Director, through historical reporting and trend analysis
    • Maintain organized financial records.
    • Review year-end processes and settings with the payroll provider

    Qualifications

    • 5+ years of relevant experience, including nonprofit bookkeeping
    • Strong understanding of GAAP, accrual accounting, and nonprofit fund accounting
    • Experience with payroll and related federal and Washington State tax requirements
    • Solid working knowledge of QuickBooks Online, Excel, and Google Docs
    • Outstanding integrity and close attention to detail

    Compensation & Benefits

    This is an hourly W-2 position, compensated at $30-$40 per hour, depending on experience. Benefits include:

    • Sick/Safe leave (1 hour/40 hours work, with unused leave carrying over year-to-year)
    • 12 days of paid time off annually (prorated for this .5 FTE position).
    • Paid holidays are observed when they fall on regularly scheduled workdays.
    • Ability to work fully remotely.
