    Position Summary

    The HR Assistant / HRIS Coordinator is responsible for coordinating HRIS activities, workforce data administration, reporting, and recruitment support functions. This position exercises independent judgment and discretion in the coordination of HR information, compliance reporting, workforce analytics, process improvements, and talent acquisition activities. The role serves as a key resource to Human Resources leadership by ensuring data integrity within UKG, providing workforce insights, and supporting recruitment and retention initiatives.

    Essential Duties and Responsibilities:

    HRIS Administration and Workforce Data Coordination

      • Administer and maintain employee records and organizational data within UKG.
      • Coordinate employee lifecycle transactions, including new hires, transfers, promotions, status changes, leaves of absence, and terminations.
      • Evaluate, audit, and resolve data discrepancies to ensure data integrity and regulatory compliance.
      • Coordinate position, job, department, and organizational structure updates within the HRIS.
      • Support HRIS system enhancements, testing, upgrades, and implementation activities.
      • Serve as a resource for managers and employees regarding UKG functionality and HRIS processes.
      • Develop and maintain HRIS procedures and documentation.

    Reporting and Workforce Analytics

      • Develop, generate, analyze, and distribute standard and ad hoc reports utilizing UKG reporting tools.
      • Monitor and analyze workforce metrics including headcount, turnover, retention, vacancies, recruiting activity, and workforce demographics.
      • Prepare reports and dashboards for Human Resources leadership and management.
      • Identify trends, discrepancies, and opportunities for process improvements through analysis of workforce data.
      • Support internal and external reporting requirements, audits, and compliance initiatives.

    Recruitment and Retention Support

      • Coordinate recruitment activities, including job postings, applicant tracking, interview scheduling, and candidate communications.
      • Support onboarding processes and ensure timely completion of new hire documentation and system setup.
      • Maintain applicant tracking and recruitment records.
      • Assist with employee engagement, recognition, and retention initiatives.
      • Coordinate orientation and onboarding activities for new employees.
      • Provide recruitment and retention metrics to support workforce planning efforts.

    Compliance and Process Improvement

      • Maintain employee records in accordance with applicable laws, regulations, and organizational policies.
      • Support HR audits and compliance reviews through the preparation and analysis of employee data and reports.
      • Recommend and implement improvements to HR processes, reporting methods, and data management practices.
      • Develop and maintain standard operating procedures related to HRIS administration and reporting activities.
      • Safeguard confidential employee and organizational information.

    Qualifications

      • Associate's degree in Human Resources, Business Administration, Information Systems, or a related field required; Bachelor's degree preferred.
      • Minimum of two (2) years of experience in Human Resources, HRIS administration, recruitment, workforce analytics, or a related field.
      • Experience with UKG preferred.
      • Advanced proficiency in Microsoft Excel and HR reporting tools.
      • Strong analytical, organizational, and problem-solving skills.
      • Demonstrated ability to exercise independent judgment and discretion when handling sensitive information and resolving issues.
      • Excellent verbal and written communication skills.
      • Ability to manage multiple priorities in a fast-paced environment.

    Preferred Qualifications

      • HR certification such as SHRM-CP, PHR, or equivalent.
      • Experience supporting recruitment and retention programs.
      • Knowledge of HR metrics, workforce analytics, and HR compliance requirements.
      • Experience with applicant tracking systems and onboarding platforms.

    Physical Requirements

      • Ability to work at a computer for extended periods.
      • Ability to occasionally lift up to 15 pounds.
      • Occasional travel for meetings, training, or recruitment-related events, as needed.

    Position Classification

    This position is classified as Exempt and performs non-manual work directly related to the administration and coordination of Human Resources operations. The role regularly exercises discretion and independent judgment in the administration of HRIS processes, workforce reporting, compliance activities, recruitment coordination, data analysis, and operational improvements. The position supports organizational decision-making through the evaluation, interpretation, and coordination of workforce information and HR-related processes.
