This is a hybrid position that includes working from our Times Square office at least three days per week.

Broadway Cares/Equity Fights AIDS is the philanthropic heart of Broadway, bringing together the theater community and its audiences to help people across the country receive lifesaving medications, healthcare, nutritious meals, counseling and emergency financial assistance.

Job Summary:

The Corporate & Special Events Specialist will help create exceptional donor and corporate partner experiences at Broadway Cares event receptions while coordinating key event logistics, vendor relationships and volunteer engagement strategies. You will also spearhead custom events for corporate partners ensuring they meet and exceed client expectations. You’ll be part of a two-person partnerships team that collaborates with the Director of Development and Executive Director, and works closely with the development, communications, and production teams, as well as outside vendors and venues.

Duties/Responsibilities:

Corporate Events and Partnerships

• Strategize and implement growth of corporate partnerships program, including soliciting new corporate partners, engaging current partners, facilitating partner renewals and managing event sponsors
• Engage with corporate partners and prospects to craft and pitch bespoke events and collaborations that fulfill the needs of the partner while meeting and exceeding fundraising goals for Broadway Cares
• Collaborate with Director of Development and Partnerships Specialist on partner negotiations and deal structure
• Lead logistical planning, produce and project manage custom activations and events
• Create and manage budgets for maximum net revenue
• Foster effective relationships with vendors, venues, talent and creative teams
• Collaborate with Director of Development and Partnerships Specialist to manage and fully execute partnerships secured by external sponsorship agency
• Moderate discussions with members of the Broadway community
• Take meeting notes and draft follow-up communications
• Develop tools and resources needed, including sponsorship grids, presentation decks, one sheets, proposals, agreements and action plans
• Collaborate with internal teams to ensure corporate benefits and sponsorship deliverables are fulfilled accurately and on time

Special Event planning & donor experience

• Lead logistical planning and execution for donor stewardship events and donor receptions for major Broadway Cares fundraising events
• Create thoughtful, seamless, and welcoming experiences for donors, sponsors, committee members, and special guests
• Coordinate event timelines, run-of-show logistics, and on-site hospitality
• Manage relationships and negotiate contracts with venues, caterers, production vendors, rental companies, and other outside partners while monitoring event budgets and expenses
• Collaborate with internal teams to ensure donor benefits and sponsorship deliverables for event receptions are fulfilled accurately and on time

Organizational support

• Maintain accurate records and event tracking in Raiser’s Edge/NXT. Monday and related systems
• Participate with the full staff in facilitating Broadway Cares’ Red Buckets fundraising appeals on Broadway and Off-Broadway, which take place evenings and on weekends for two six-week periods in the spring and fall
• Be available to participate in person at numerous evening and weekend events and meetings

The responsibilities listed above are not exhaustive and may evolve as the role develops. The individual in this position will also be expected to take on additional ad hoc tasks, responsibilities, and projects as assigned by the manager, adapting to the dynamic needs of the team and organization.

Required Skills/Abilities:

• Commitment to the mission of Broadway Cares/Equity Fights AIDS
• Industry insider knowledge of Broadway theater with a proven ability to creatively shape performance events with a discerning eye for casting and overall production
• Three to five years of experience in special events, fundraising events, production, hospitality, nonprofit development or related fields
• Demonstrated excellence in customer service, hospitality and/or concierge services
• Experience effectively negotiating contracts and managing vendor relationships
• Experience managing complex event logistics and multiple projects simultaneously
• Strong interpersonal and relationship-building skills
• Excellent organizational skills and attention to detail
• Outstanding written and verbal communication skills
• Ability to remain calm, flexible, and solutions-oriented in fast-paced event environments
• Proficiency in Google Drive and Microsoft Office; familiarity with Raiser’s Edge/NXT, Donor Drive, Monday and Slack a plus
• Personal drive, initiative and creative thinking
• Willingness to assist, support and do whatever needs to be done for all fundraising events and in the work environment
• An appreciation for theater and the performing arts

Compensation:

$70,000-$80,000

The salary range reflects the experience and responsibilities outlined in this job description. We welcome candidates with a range of backgrounds and experience levels.
