    Full-Time • $75k-$83K Annual with Health Stipend, Mostly on-site with some local travel

    Position Summary

    The Administrative, Program Development & Outreach Coordinator supports Stagebridge’s core administrative processes in close partnership with our Operations & Technology Manager, ensuring smooth daily functioning across programs, outreach, and office workflows.

    Core Responsibilities

    Administrative Support & Office Coordination

    • Maintain Stagebridge’s office and shared spaces.
    • Coordinate with building staff for room reservations, building access, and facility needs.
    • Assist in maintaining organizational calendars and forward-facing documentation.
    • Support vendor coordination and basic administrative workflows.
    • Assist with administrative tasks related to grants, reporting, and program data.
    • Maintain organized digital files, archives, and program materials.

    Program Development Support

    • Partner with the Executive Director to support the creation and maintenance of innovative programming.
    • Work with staff and instructors on timelines, materials, and scheduling for new programs and initiatives.
    • Assist in preparing program descriptions, proposals, and supporting materials.
    • Coordinate pilot programs, workshops, and special projects.
    • Create and gather feedback, testimonials, and program data for evaluation and grants.
    • Support curriculum logistics (materials lists, accessibility considerations).
    • Track program performance metrics and maintain program documentation.

    Community Outreach & Partnership Engagement

    • Support outreach to schools, senior centers, community organizations, arts groups, and local networks.
    • Represent Stagebridge at community events, resource fairs, and partner gatherings.
    • Distribute outreach materials (flyers, class schedules, announcements).
    • Maintain a simple outreach database with contacts, follow-ups, and partnership notes.
    • Assist with building referral pathways from community organizations to Stagebridge programs.
    • Coordinate meetings and follow-up with partners interested in hosting workshops or collaborations.

    Storybridge Program Support

    • Support outreach to schools, teachers, and district partners.
    • Help schedule Storybridge workshops, performances, and planning meetings.
    • Coordinate logistics for teaching artists and older adult storytellers.
    • Maintain Storybridge partner records, contacts, and communications.
    • Assist with creating and collecting student feedback, teacher evaluations, and program impact data.
    • Support the ED with Storybridge expansion efforts, including new school partnerships and pilot sites.
    • Help prepare Storybridge materials: scripts, prompts, schedules, and documentation.

    Qualifications

    • 5–7 years of experience in administrative, program coordination, or community engagement roles.
    • Experience in nonprofit, arts, education, or community-based organizations.
    • Strong organizational and project management skills.
    • A can-do attitude — if you don’t know it, you take the initiative to learn it.
    • Excellent communication skills with older adults and diverse communities.
    • A desire to learn new technology and manage simple databases or CRM tools.
    • Warm, patient, collaborative, community-oriented interpersonal style.
    • Commitment to equity, accessibility, and culturally responsive engagement.
    • Believe that older adults rock and fight ageism in your sleep.
    • Ability to support occasional evening or weekend events.

    Work Environment

    • Full-time, on-site role with some travel, based in Oakland.
    • Occasional lifting up to 25 lbs.
    • Occasional evening or weekend support for performances or community events.
