    Position Summary

    The Executive Assistant to the President & CEO is a strategic and highly visible member of the President’s Office. This individual will manage the CEO’s time, priorities, communications, relationships, and key projects while helping ensure that commitments are executed with excellence.

    This is more than a traditional administrative role. The ideal candidate is a proactive, highly organized, and mission-aligned professional who can anticipate needs, exercise sound judgment, manage confidential information, and move seamlessly between administrative, operational, and strategic responsibilities.

    Key Responsibilities

    Executive Support

    • Serve as the primary point of contact for the President’s Office, managing incoming communications and prioritizing requests.
    • Strategically manage the CEO’s calendar, protecting time for high-priority work and ensuring adequate preparation and follow-up.
    • Draft, review, and coordinate correspondence, memos, presentations, and other executive communications.
    • Coordinate travel arrangements, itineraries, transportation, accommodations, and meeting materials.
    • Maintain organized digital and physical records, correspondence, and institutional documents.
    • Use tools such as Asana, Salesforce, Slack, Canvas, Microsoft Office, Google Workspace, and AI-assisted productivity platforms to organize workflows and improve efficiency.

    Project and Priority Management

    • Track CEO commitments, action items, deadlines, and follow-up activities.
    • Proactively identify priorities or deliverables that may be at risk and support timely resolution.
    • Lead or support special projects, research assignments, and organizational initiatives.
    • Prepare briefing materials, talking points, reports, and presentations for board meetings, funder meetings, speaking engagements, and senior leadership convenings.
    • Support the planning and execution of events and high-level meetings connected to the President’s Office.
    • Coordinate with senior leadership and internal teams to maintain alignment on CEO priorities and organizational timelines.

    Board and Stakeholder Relations

    • Coordinate Board of Directors meetings, including scheduling, communications, materials, logistics, and follow-up.
    • Serve as a professional and trusted liaison to board members, funders, government partners, school leaders, and community stakeholders.
    • Maintain accurate stakeholder contact information, relationship notes, and communications.
    • Facilitate virtual and in-person meetings, including technology, logistics, materials, and follow-through.

    Additional duties may be assigned as needed.

    Qualifications

    • Bachelor’s degree or equivalent professional experience.
    • Three to five years of experience in an executive assistant, senior administrative, executive operations, or similar role.
    • Experience supporting a C-suite executive or senior organizational leader.
    • Nonprofit or mission-driven organizational experience strongly preferred.
    • Exceptional organizational, project management, and time management skills.
    • Strong written and verbal communication skills, including the ability to draft polished communications with minimal direction.
    • High proficiency in Microsoft Office and Google Workspace.
    • Experience with Asana, Salesforce, Slack, Canvas, or similar platforms preferred.
    • Comfort using AI-assisted productivity tools and learning new technologies.
    • Strong attention to detail and commitment to accuracy and quality.
    • Ability to anticipate needs, manage multiple priorities, and work independently.
    • Professional presence and comfort engaging with board members, senior leaders, funders, and external partners.
    • Excellent judgment, discretion, emotional intelligence, and ability to manage confidential information.
    • Ability to remain composed and effective in a fast-paced environment with shifting priorities.

    Compensation and Benefits

    The salary range for this position is $65,000–$75,000, based on qualifications and experience.
