    Description

    Position Summary

    The Administrative Assistant provides essential organizational, clerical, and logistical support to NEW’s administrative and program teams. This role ensures smooth daily operations, effective communication across departments, and a welcoming environment for staff, partners, and clients. The ideal candidate is an organized self-starter with strong attention to detail, excellent communication skills, and a passion for NEW’s mission.

    Key Responsibilities

    • Serve as the first point of contact for visitors, calls, and general inquiries.
    • Maintain organized administrative systems, files, and records (digital and paper).
    • Support scheduling for meetings, trainings, and organizational events.
    • Prepare correspondence, reports, and meeting materials for leadership and program staff.
    • Process incoming and outgoing mail and manage office supply inventory.
    • Coordinate logistics for staff meetings, board meetings, and community events.
    • Assist with data entry, donor acknowledgments, and general development tasks as needed.
    • Support HR and finance functions with basic administrative tasks, such as timesheet collection or vendor invoicing.
    • Help maintain effective internal communications to support cross-departmental collaboration.

    Qualifications

    • Associate’s degree or equivalent work experience; bachelor’s degree preferred.
    • Minimum of two years of administrative or office experience, preferably in a nonprofit setting.

    Strong proficiency in Microsoft Office, Google Workspace, and general office technology.

    • Excellent verbal and written communication skills.
    • Proven organizational skills and ability to manage multiple priorities.
    • Professionalism, discretion, and a collaborative spirit.
