    Description

    Women’s Law Project (WLP) is a fast-paced, non-profit legal organization that defends and advances the rights of women, girls, and LGBTQ+ people in Pennsylvania and beyond.

    WLP is seeking an Administrative Assistant for its Western Pennsylvania office in Pittsburgh, PA, to provide organizational and clerical support to WLP staff.

    Key responsibilities of the role include coordinating the scheduling of meetings, maintaining the Executive Director’s calendar, preparing documents and reports, managing files and databases, and acting as a central communication point within the Western Pennsylvania office.

    The ideal candidate will have strong communication and organizational skills, attention to detail, and the ability to multitask.

    Core Duties:

    • Handle incoming and outgoing mail and emails in a prompt and professional manner
    • Answer and direct phone calls, including from clients and potential clients
    • Draft letters, memos, meeting minutes, and other documents
    • Schedule meetings, interviews, and appointments and manage the Executive Director’s calendar
    • Arrange staff travel and lodging
    • Organize and maintain physical and digital filing systems
    • Prepare, edit, and proofread letters, reports, presentations, and other necessary documents
    • Track office inventory and order supplies
    • Coordinate service calls for IT problems, facility repairs, and maintenance of office equipment
    • Provide administrative support to Executive Director and other staff
    • Potential to represent the organization at public-facing events such as meetings and information fairs
    • Support the legal team with online factual research and basic paralegal tasks
    • Other duties as assigned

    Key Skills and Qualifications:

    • Commitment to the mission and values of Women’s Law Project
    • Ability to manage multiple tasks, organize information, maintain efficient workflow, and adapt to changing responsibilities and the needs of a dynamic office
    • Strong verbal and written communication skills; compassionate and professional demeanor when interacting with clients and staff
    • Strong attention to detail and accuracy, and an ability to create error-free and well-formatted documents; a flair for graphic design is a plus
    • Proficiency in Microsoft Office Suite or Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams, OneDrive, and SharePoint); experience with Airtable is a plus

    Salary and Benefits:

    The Administrative Assistant position is full-time and non-exempt.

    The salary starts at $50,000 and includes a generous benefits package that consists of health insurance, TIAA retirement annuity plan with employer contribution, pre-tax medical expenses FSA, pre-tax dependent care FSA (both subject to annual federal limits), short and long-term disability, life insurance, paid vacation, paid personal leave, paid sick days, paid family medical leave, unpaid leave, a transportation benefit, a life insurance benefit, and bereavement leave.

    Location of Work:

    WLP is a flexible hybrid office. The in-office component of the work will take place in downtown Pittsburgh three days per week (Tuesday, Wednesday, Thursday). WLP prefers employees to perform their remote work (Monday and Friday) in Pennsylvania to ensure compliance with state and local withholding requirements and wage and hour laws.
