    Description

    Reporting to the President and Chief Executive Officer (CEO), the Director of Operations manages the day ­to-day operational infrastructure of the Women Business Enterprise Council Metro NY and Greater DMV (WBEC NY DMV). Duties and responsibilities include managing multiple departments and locations, ensuring that internal systems, vendor relationships, payment processes, sponsor operations, Board administration, workflows, and cross-functional coordination are organized, documented, and executed effectively. The role serves as a key operational partner to the President and CEO by supporting organizational continuity, accountability, and execution. In collaboration and alignment with the Women Business Enterprise National Council (WBENC), the Director of Operations delivers operational excellence in harmony with the WBEC NY DMV mission, vision and strategic goals.

    ROLE AND RESPONSIBILITIES

    • Collaborate with the CEO and senior leadership to achieve strategic goals by translating priorities into clear operational plans, workflows and accountability structures that broaden programmatic reach and deepen relationships with constituent alliances.
    • Direct and coordinate operations activities of WBEC NY DMV and is responsible for maximizing operational effectiveness in support of business objectives.
    • Support budget planning and financial oversight with Senior Leadership. Reviews financial statements, sales/activity reports, and other key performance indicators to assess productivity or to identify opportunities for improvement or operational efficiencies to help leadership manage resources.
    • Monitor incoming payments, receivables, refunds, and reconciliation items in coordination with finance and accounting support to ensure accurate tracking, documentation, and reporting.
    • Maintain vendor, supplier, platform, and external relationship records, including contracts, renewal dates, service issues, key contacts, and budget considerations.
    • Support the development, implementation and documentation of department policies, goals, objectives, or procedures in conjunction with board members, organizational officials and WBEC NY DMV leadership.
    • Serve as the primary administrative and operational liaison to the Board of Directors of its committees, coordinating meeting logistics, board materials, governance records, annual calendars, and committee support to ensure effective governance.
    • Scribe board meeting minutes and track and monitor board actions, directives, and organizational commitments; support preparation of board and committee reports and materials to ensure timely communication, accountability, and execution of board-approved initiatives
    • Establish operations training protocols or evaluation to achieve and sustain WBEC NY DMV targets and mission-critical goals.
    • Develop operational strategies to sustain organizational growth and consistency with corporate members in conjunction with board members, organizational officials and WBEC NY DMV leadership.
    • Understand, recommend, and support the execution of programs aligned with other corporate departments to leverage the organization’s network resources and business relationships.
    • Enhance organizational excellence by establishing operational benchmarks, timelines, and resources needed to achieve strategic goals, proactively recommending and driving improvements as necessary, and sets standards for accountability and measurements of success.
    • Coordinate and support WBEC NY DMV expansion strategies to include hiring, onboarding, training, and supporting new team members.
    • Nurture relationships and build collaborative strategies within the Women Business Enterprise Council Metro New York and Greater DMV (WBEC NY DMV), the Women Business Enterprise National Council (WBENC), and Women Business Enterprises (WBE).
    • Oversee measurement and evaluation activities including data collection systems, productivity reports, operational analysis, and long-term evaluation of operational initiatives. Prepare accurate and insightful analysis to inform decisions or activities.
    • Enhance organizational excellence by establishing operational benchmarks, timelines, and resources needed to achieve strategic goals, proactively recommending and driving improvements as necessary, and set standards for accountability and measurements of success.
    • Maintain internal controls, business continuity/disaster recovery plans, and privacy/data protection/cybersecurity capabilities.
    • Serve as owner and provide oversight of all operational technology and systems

    JOB REQUIREMENTS

    Education and Experience

    • Bachelor's degree in business, finance, human resource management, or related field. A master’s degree is preferred.
    • Seven (7) or more years of expertise and professional experience in operations management, ideally in a creative, innovative, and customer focused environment.
    • A strong track record of positioning an organization to achieve tangible outcomes.
    • Ability to coach and support senior leaders and inspire staff to achieve WBEC NY DMV’s mission and vision.
    • Highly organized, flexible, and has the ability to manage or support diverse responsibilities.
    • A driving force who manages toward clarity and solutions.
    • A successful track record in setting priorities, shaping processes, guiding investment in people and systems, and developing an infrastructure that creates a stronger and more effective organization.
