    Description

    Operations Administrator (Part Time)

    The Operations Administrator ensures the organization’s daily activities run smoothly by managing office logistics in areas such as financial records, administrative tasks, human resource assistance, and streamlining operational workflows. The financial management includes bookkeeping, liaising with the accountant to file taxes, logging transactions, and populating financial reports. The Operations Administrator is also tasked with maintaining payroll disbursement, benefits packages, employee records, and insurance policies. Office tasks include filing, scanning, printing, screening phone calls, stocking supplies, and other duties that may arise to support team and organizational needs.

    The Operations Administrator position is part-time, with flexible hours (20-30 hours a week) on a Monday through Friday schedule. This role has the potential of being hybrid, allowing for a combination of in-person presence at our office in downtown Manhattan and some remote work. The Operations Administrator works closely with, and reports directly to, the Executive Director.

    Responsibilities

    • Generate monthly, quarterly, and annual financial reports.
    • Perform annual tasks such as working with accountant for tax filing, insurance renewals, and labor compliance.
    • Screen calls, respond to mail, and direct communications to appropriate department.
    • File, scan, and organize important documents for easy access.
    • Process new hires, payroll, reimbursements, benefits packages, and accounts payable and receivables.
    • Manage spreadsheets, donor databases, and important company information.
    • Draft templates for office infrastructure and routine communications.
    • Maintain office inventory and purchases supplies as needed.
    • Generate and retrieve documents for fellow team members.

    Experience and Qualifications

    • Substantial experience with financial management such as bank reconciliations, bookkeeping, and financial reporting.
    • Strong proficiency in Microsoft Office (especially Excel), Adobe Acrobat, cloud-based file management systems, donor database/CRM systems, and QuickBooks online accounting software.
    • Experience with payroll and benefits processing, insurance filing, hiring documents, and maintenance of employee records.
    • Strong problem solving, time-management, and organizational skills.
    • Ability to work outside of job description parameters, as needed.
    • Degree in Business Administration, Human Resources, or Accounting preferred.
    • Experience with nonprofit compliance a plus.

    Compensation and Benefits

    The salary range is between $31,000-46,800 depending upon hours and experience.

    Benefits package includes, but not limited to, paid vacation, sick days, and holiday. Heavily subsidized health insurance and other benefits depend on hours.
