    Description

    Location: Onsite, with some options for remote work as needed

    Reports To: Developmental Minister

    FTE: Full Time (expected to maintain a 5-day work week, with a flexible schedule that includes some evenings and Sundays)

    Compensation: $90,000 - $110,000

    Purpose of Position: This role will play a pivotal part in guiding All Souls through a period of significant change in our fiscal and operational management, helping to build stronger systems and practices that can sustainably support our mission for years to come. Under supervision of the Developmental Minister and in collaboration with church leadership and board officers, manage the administrative and financial matters of the congregation with a high degree of independence and fiscal responsibility. Advise governing board on a wide range of financial matters at both the strategic and operational levels including the operational budget and stewardship planning. Oversee and adjust processes and operations as necessary to ensure efficient and effective implementation and creation of policies and procedures.

    A person who is successful in this role may have the following competencies:

A proven track record of effectively leading an organization and achieving scalable outcomes; ability to point to specific examples of having developed and operationalized strategies that have taken an organization to the next stage of operational excellence.
    • Organization and Planning: Can organize and oversee people–both staff and volunteers, understands project management, and displays excellent organizational skills
    • Trust and Integrity: Is widely trusted to keep confidences, admit errors, and adhere to a transparent set of personal and professional values that are congruent with the ministry of the congregation. Uses appropriate discretion when sharing information with congregants and the general public. Is open and transparent about their decisions and processes for making such decisions. Demonstrates a “roll up your sleeves” work ethic.
    • Conflict Management: Recognize and resolve conflicts effectively, applying principles of active listening, collaboration, and equity for both congregants and staff.
    • Proficiencies: Working knowledge of business and church related software (document editing, accounting software, database/CRM management). Must have excellent project management, data analysis, and professional communication skills. Working knowledge of HR policies and accounting practices.

    Key Roles and Responsibilities:

    Financial Management

    • Manage congregation’s finances
      • Establish and oversee strong internal financial controls
      • Responsible for accounts payable
      • Responsible for Invoicing / Accounts Receivable / Collections (for ASC this is primarily for facilities users)
      • Reads and interprets monthly financial statements
      • Process donations
      • Process deposits
      • Support Volunteers in processing collection plate donations and other functions as appropriately delegated.
      • Create and maintain bookkeeping process documentation
      • Work with bookkeeping service to ensure that financial records are reconciled accurately, including monthly coding reviews, spot-checking entries, and other oversight measures as deemed appropriate by the financial oversight committee.
      • Manage relationship and supervision of the Accounting Firm in conjunction with the Developmental Minister
      • Monitors budgeted expenditures and works with staff and board to adjust to actual income and expenditures on a monthly basis
    • Provide Real-time transparent reporting specifically enabling stakeholders to understand and manage P&L
    • In coordination with the Accounting Firm, prepare monthly financial statements for church leadership
    • Bank Mortgage Loan and relationship management
    • Prepare and distribute giving statements, including year-end tax statements
    • Support preparation of annual congregational budget along with Developmental Minister and Finance Committee
    • Prepare projections and regular reporting on budgeting to ensure the church is on track for spending and fundraising targets, and help make adjustments as necessary

    Fundraising

    • Support volunteer fundraising efforts
    • Provide high level staff support for the Stewardship Committee
    • Proactively seek additional short term rentals to help raise new revenue, including building out our venue rental portfolio in partnership with volunteers and/or contractors
    • Responsible for the financial management and compliance for any grants

    Human Resources Administration

    • Hire, coordinate, supervise and evaluate administrative, financial and operations staff
    • Full HR lifecycle responsibility including onboarding and offboarding lifecycle for all employees
    • Maintain personnel records, payroll records, vacation and sick leave records for all staff
    • Perform basic HR functions and benefits management
    • Working knowledge of HR policies and practices
    • Process payroll

    Church Operations

    • Oversee our administrative ministries including operational staff and volunteers, who directly engage in managing our communications, master church calendar, church events management and scheduling, IT needs, and rentals. This includes providing needed training, direction, and oversight.
    • Contracts & Legal
      • Negotiate and sign contracts
      • Manage document repository of contracts
      • Manage outside counsel
      • Set and enforce contracting requirements to manage contracting risk
      • Develop/document/administer contracting policies
    • Maintain business operations:
      • File required reports with State and Federal authorities to maintain legal business operations
      • Ensure bi-annual business filings with District government
      • Take any necessary actions to maintain certificates of occupancy, clean hands, good standing, etc.
    • Support management of the facility in strong coordination with the Director of Facilities and volunteers
    • Manage all IT policies, procedures, assets, and processes.
    • Manage contracts, insurance, and legal issues
    • Serve on the Staff Leadership Team
    • Works with staff, board, and volunteers to improve the systems for booking and reserving church usage
    • Administer church rental policies and guidelines
    • Manage the congregation’s relationship with renters (typically generating over $400k a year), including executing contracts, ensuring building access and usage, and ensuring a clean space both pre- and post event

    Church Leadership

    • Support the church leadership
    • Serves on the Finance Committee and Financial Oversight committee
    • Work closely with Developmental Minister
    • Regularly report to the Board
    • Other duties as assigned

    Preferred Qualifications:

    Ideal Candidates will have experience with the following:

    • MBA or other degree in a related field or equivalent experience, or an equivalent combination of education, training and experience.
    • Supervisory experience.
    • CRM or other database experience, preferably with Realm
    • Accounting software (Currently, we are using Quickbooks)
    • Experience with Google Workspace or MS Office 365
