    POSITION SUMMARY

    The Donor Services (DS) Officer plays an important role in supporting donor services operations and ensuring the accuracy, integrity, and timely processing of donor contributions. As a member of the Donor Services team, the DS Officer is responsible for maintaining donor and contribution records, performing month-end reconciliations, preparing reports, supporting audit activities, and providing responsive, high-quality service to donors, volunteers, and internal stakeholders.

    Working under the direction of the Manager, Donor Services and in collaboration with the Senior Donor Services Officer, the DS Officer exercises independent judgment in researching and resolving routine discrepancies related to donor records, contributions, and reconciliations. The role supports the accurate processing and reporting of donor activity across banking, CRM, and financial systems while helping to maintain strong internal controls and data quality standards.

    The DS Officer serves as a key resource for donor inquiries, manages donor acknowledgments and contribution statements, supports contribution transfer processes, and assists with reporting and special projects. The position also provides operational support to Donor Services Associates and serves as a backup to the Senior Donor Services Officer during planned absences, excluding responsibilities related to contribution batch approvals, staff supervision, and transfer request initiation.

    The ideal candidate will possess strong analytical and organizational skills, advanced proficiency in Excel, experience working with CRM databases, and a commitment to providing excellent customer service in a fast-paced, mission-driven environment. Some travel may be required to support organizational events, and occasional evening or weekend work may be necessary. This is a full-time, exempt position reporting to the Manager, Donor Services.

    PRIMARY DUTIES AND RESPONSiBILITIES

    • Perform month-end reconciliations for contributions and pledges, researching and resolving discrepancies between bank, CRM, and financial systems. Prepare fund allocation schedules and journal entry support for Finance processing.
    • Maintain donor and contribution records within the CRM database, ensuring accuracy, completeness, and adherence to established procedures.
      • Perform routine CRM data maintenance, including merging duplicate records, updating donor contact information, and maintaining relationship records.
    • Manage the Donor Services email inbox and respond to donor, volunteer, and stakeholder inquiries in a timely and professional manner.
      • Generate and distribute donor contribution receipts, statements, and related correspondence.
      • Support the Senior Officer in processing transfer requests and maintaining logs of outgoing transfers and fund balances.
    • Prepare monthly contribution reports and other recurring reports for internal and external stakeholders.
    • Assist with audit preparation by compiling schedules, reconciliation support, and requested documentation.
    • Identify data discrepancies, operational issues, and process inefficiencies and recommend solutions to the Senior Officer and Manager.
    • Serve as the primary backup to the Senior Donor Services Officer during absences, excluding authority for contribution batch approvals, staff supervision, and transfer request initiation.
    • Coordinate with Donor Services Associates to support timely contribution processing and completion of donor service activities.
    • Participate in special projects, system enhancements, testing activities, and process improvement initiatives as assigned.

    Required Qualifications

      • Bachelor’s degree in finance or related field; Master’s degree would be an advantage.
      • 2 – 4 years of experience working within a non-profit organization.
      • Experience working with Salesforce CRM. Experience as a Champion User is preferred.
      • Advance proficiency in Microsoft Office (particularly Excel).
      • Excellent inter-personal and communications skills.
      • Ability to work in a fast paced, culturally diverse environment.
      • Excellent organizational, communication and leadership skills.
      • Knowledge of database systems and fundraising business processes a plus.

    COMPENSATION PACKAGE

      • Salary range: [$65,000 – $72,000], based on experience and qualifications.
