    Early Impact Virginia (EIV) is a mission driven organization working to advance and accelerate the impact of maternal, infant and early childhood home visiting across the Commonwealth. Home visiting is a free, voluntary program available to families across Virginia from pregnancy through kindergarten entry. It brings trained early childhood professionals directly to families, meeting them where they are and building long-term, trusting relationships. For many families, home visiting becomes a steady source of guidance, encouragement, and practical support during the years when brain development is at its peak and parenting demands are high.

    What began as a small public-private collaborative in 2016, EIV has steadily grown to address the evolving needs of providers and partners. EIV is now seeking a detail-oriented, hands-on Operations & Program Coordinator that provides part-time support across finance administration, grant management, operations, and general organizational logistics. This role plays a critical behind-the-scenes part in ensuring smooth day-to-day operations and reducing administrative burden on senior staff.

    This is a part-time hourly position (approximately 20 hours per week). Work will be completed primarily in the Richmond office, with the opportunity for flexible scheduling and some remote work.     Summary

    Early Impact Virginia’s Operations & Program Coordinator provides part-time support across finance administration, grant management, operations, and general organizational logistics. This role reduces the administrative burden on senior staff and ensures smooth day-to-day operations by managing recurring tasks, coordinating vendors, and maintaining accurate records.

    Financial & Administrative Support

    • Process accounts payable: receive, code, and enter bills for approval.
    • Collect and organize receipts for monthly credit card reconciliation.
    • Prepare documentation for grant invoicing (receipts, reports, supporting documents).
    • Pull basic financial and administrative reports and assist with reconciliation preparation.

    Operational & Organizational Support

    • Ensure a functional work environment by managing office space, equipment and supplies.
    • Schedule staff and board meetings; manage calendars, reminders and logistics.
    • Coordinate the completion of grant reports in partnership with programs team
    • Assist with preparation and distribution of meeting materials.
    • Provides planning and coordination support for EIV staff meetings and organizational events
    • Maintain organizational subscriptions, shared drives, and administrative documentation.
    • Support onboarding and offboarding processes, including coordination of equipment and materials.

    Other Duties As Assigned

    • Perform other related duties as assigned to support organizational operations and team needs.

    Education, Licensing, and Certifications Required

    • Demonstrated relevant experience, education/training and ability.
    • Possession of a valid driver’s license.

    Experience, Knowledge, Skills, and Abilities

    • 1+ years of experience in nonprofit operations, finance, or administration.
    • Experience with Microsoft 365, SharePoint, or QuickBooks is a plus (not required)
    • Strong organizational and communication skills.
    • Ability to work independently and proactively in a remote team environment.
    • Comfort working in a collaborative, values-driven, and equity-focused workplace.

    Travel, Training and Safety Requirements

    • Occasional travel may be required for meetings, training sessions, or company events.
    • Participation in mandatory training programs, including compliance, workplace conduct, and role-specific development, is required.
    • Employees must adhere to all company safety guidelines and policies to ensure a safe work environment.

    Physical Demands

    • Prolonged periods of sitting at a desk and working on a computer.
    • Occasional lifting of office supplies or equipment up to 20 pounds.
    • Ability to communicate effectively in person and through electronic means.
