JOB DESCRIPTION: Idaho Base Camp Director of Operations
Location: Ketchum, ID
Reports to: Executive Director (dotted line to Chairman of the IBC Board)
Status: Full-time, exempt
Why This Role Exists
This is a newly created position. To date, the Executive Director has personally managed the full range of programmatic, operational, and facilities functions at Idaho Base Camp. As the organization has grown, that model no longer scales. The Director of Operations (DOO) exists to build the systems, structure, and management layer that IBC currently lacks - translating strategic goals into clear plans, consistent execution, and disciplined follow-through across a Senior Mgmt. Team. This is a role for someone who wants to build an organization, not maintain it.
Position Overview
The DOO is responsible for the daily operations of IBC's programming and business activities, overseeing a 5-person Senior Management Team:
- Program Director (Whitney McNees) - oversees the 5th Grade Program, OHL, Explorers and Sprouts.
- MAT/Camp Director (Jessie Armstrong) MAT hiring - training - schedule building and execution of MAT camp.
- Marketing Manager (Max Lalanne)
- internal/external communications, video, newsletters, website, donor communications, special events
- Facilities Manager (TBD) - operational management of Trail Creek, Buttercup Housing, Sprouts/Bellevue Campus, and the Ketchum HQ office
- Office/Administrative Director (Joelle) - AP/AR, MAT Camp summer registration
The DOO works in partnership with the CFO and Director of Development (both of whom report to the ED) and serves as the critical link between board-level strategy and day-to-day execution.
Key Responsibilities
- Organizational Management
- Manage the Senior Leadership Team: structure, reporting lines, job descriptions, and salaries for operations and seasonal staff; establish clear roles to eliminate ambiguity; identify development and succession opportunities
- Programming: direct and support the Program Director across all school year IBC programs (OHL, Explorers, Sprouts, 5th Grade)
- MAT Programming: direct and support the Jessie MAT Director
- Facilities: partner with the Facilities Manager on leases, maintenance, and all facility-related work
- Marketing: work with the ED, DOD, and Marketing Manager to implement a 2027–28 marketing plan (website, social, PR, programming) that is developed with input of senior leadership and program team.
- Recruitment & Hiring: Oversee implement and modify our a 3rd-party HR system to streamline hiring, onboarding, personnel documentation, benefits, and termination
- Performance Management: develop and run a review cycle - KPIs, bi-annual staff surveys, annual reviews, and year-end bonus recommendations (mid-level, junior, seasonal) in coordination with the ED
- Operational Management
- Ensure Senior Leadership has the resources to succeed: equipment, transportation, credit cards, training, delegated authority, escalation paths
- Policies: with the ED, CFO, and Board, formalize operating policies that let the organization scale with consistent quality, safety, and financial health
- Safety & Risk Management: build a formal risk management framework with a 3rd-party tool(if needed) - - risk matrix, incident tracking, emergency protocols, escalation standards, regular review cycles
- Budget Management: develop and manage the annual operations budget with the ED and CFO
- Development Support: provide input to the Director of Development's fundraising work as needed (fundraising remains the ED's primary responsibility)
- Financial Administration: work with the CFO and accounting staff on expenditures, financial reporting, and payroll
- Administrative Automation: modernize student/teacher workflows - move permission slips, teacher packets, and enrollment fully online
- Permitting & Compliance: manage permit oversight and required reporting for USFS, BLM, and SNRA
- Vendor Relations: manage third-party providers within scope (outside CFO/DOD relationships)
- Sustainability: lead waste reduction and energy conservation initiatives
- Facilities Management (Potentially a new role that the DOO oversees)
Real Estate: ensure IBC's four properties are insured, serviced, and maintained.

Program administration, fundraising, and governance
- Big Lost Campus: lead the operational overhaul of third-party rentals — inquiries, booking, contracts, cleaning coordination
- Buttercup Housing: drive full utilization - leasing, policy, maintenance, resident transitions
- Fleet Management: oversee the IBC vehicle fleet - usage policy, maintenance, insurance, rentals, availability
- Outdoor Gear: Support the creating of tracking systems for program gear (tents, packs, bikes) to support reliable use and longevity
- Maintenance Staff: primary supervisor, ensuring systems and coverage for full building/grounds/equipment functionality
First 6 Months — Priority Outcomes
- Establish clear reporting lines, job descriptions, and salary structure for the operations team and seasonal staff
- Stand up a formal risk management framework (e.g., Monday.com) with a working risk matrix and incident tracking process
- Learn our 3rd-party HR system (Campbrain.com) for hiring, onboarding, and personnel documentation, modify to unify all program hiring and contracts.
- Complete a full inventory of IBC's operating policies and identify the highest-priority gaps
Qualifications
- 5+ years in operations management, ideally in nonprofit or outdoor education; strong people-management track record
- Demonstrated experience building or overhauling administrative systems from scratch in a resource-constrained organization
- Bachelor's degree in business, nonprofit management, or related field (or equivalent experience)
- Strong interpersonal skills with a track record supervising diverse teams and complex facility logistics
- Familiarity with federal land permitting (USFS/BLM) a plus
- Genuine passion for the outdoors and the organization's mission
Compensation & Application
Salary: $80k - $95k
