    ABOUT THE ROLE

    The Program Operations Manager thrives on thoughtful logistics and creative problem-solving—balancing details, deadlines, and impact with ease. You’ll manage the operational heartbeat of Rockwood’s programs: scheduling trainings and trainers, booking venues, determining event details, and ensuring that each program space runs smoothly and reflects Rockwood’s values.

    You’ll be part of the Program Operations Team, which supports the logistics for Rockwood’s core programs. You bring structure and adaptability, delight in refining systems, and enjoy turning feedback into improved processes.

    The salary for this full-time, remote, exempt position is $73,500. Rockwood offers a 32-hour full-time Monday - Thursday workweek with occasional work on Fridays as needed.

    This position requires that candidates live in the U.S. and have U.S. work authorization. Annual travel for a team retreat and some travel for site visits and scouting venues will be required. Because we work remotely, it is crucial that you have access to a place from which you can work with a reliable internet connection and no disruptions.

    What You’ll Do

    Program Logistics

    • Identify & Book Training Venues: Secure high-quality, accessible, and budget-aligned venues for a high volume of programs. Spot and mitigate potential risks and challenges while meeting scheduling timelines. Execute accurate and thoughtful details in training spaces, lodging, meals, and all the small things that can make or break a participant’s experience.
    • Negotiate & Review Venue Contracts: Review and manage contracts to ensure they align with Rockwood’s budget, accessibility standards, and values. Identify potential red flags and collaborate with Rockwood’s Finance Team as needed.
    • Schedule Trainings & Trainers: Own Rockwood’s overall training schedule and assign trainers based on program needs while optimizing for flexibility and availability across the year. Ensure trainers understand their assignments and pairings with the program context provided by program staff.
    • Coordinate & Communicate Across Teams: Partner with program staff, trainers, and venues to ensure everyone has the right information at the right time—sites receive participant details (e.g., dietary or access needs) at least three weeks prior, and training teams have all site info at least three months prior. Your colleagues on the Program Operations team know when and who to ship supplies to.

    Process Improvements

    • Feedback and Recommendations: Track and synthesize feedback from participants and program staff to improve site selection, accessibility, and logistics processes.
    • Tracking Training Sites & Trainer Availability: Maintain and expand a vetted, accessible, and cost-effective list of venues across Rockwood’s geographies. Improve systems to make it easier for trainers to make their schedules known to Rockwood, and for you to make assignments based on program needs.
    • Accessibility: Strengthen access to our programs by expanding the pool of venues that meet Rockwood’s inclusion, access, and budget standards.

    • Clear Communication: You provide timely, clear, and useful information to teammates and partners, helping everyone stay aligned.
    • Contract Literacy: You’re comfortable reading vendor contracts, understanding common terms, and spotting potential risks or inconsistencies before signing.
