    Description

    National Disability Institute (NDI) is seeking an experienced and detail-oriented individual to join our team as a Project Coordinator. The Project Coordinator is responsible for the day-to-day facilitation of tasks related to multiple projects awarded to NDI under our Financial Empowerment division. The Project Coordinator administers, implements tasks, monitors deadlines and deliverables, provides professional and timely assistance to staff and contractors, and provides executive assistance to the Division Director.

    The Project Coordinator reports to the Division Director, Financial Empowerment and receives tasks and requests from the Financial Empowerment team. This is a full-time remote position.

    ESSENTIAL RESPONSIBLITIES AND DUTIES:

    Including, but not limited to:

      • Assist with meeting scheduling, facilitation, agenda development, note-taking, and action item follow-up.
      • Create and maintain work plans on Monday.com and incorporate action items agreed upon in meetings into project boards.
    • Track deadlines, send reminders, and document deliverable status to support timely completion of work plans.
    • Follow established standard operating procedures (SOPs) and support the creation of new SOPs when needed.
      • Coordinate with NDI’s Marketing and Communications Department to ensure announcements of trainings and webinars go out in a timely fashion.
    • Manage virtual and in-person events --- attendee registration (using platforms such as Formstack), attendance tracking, communication with participants, and follow-up activities for webinars, trainings, and technical assistance sessions.
      • Coordinate project tasks across multiple projects, partner organizations, and states.
      • Maintain project records, contact lists, mailing lists, and program documentation.
      • Support projects in collecting and reporting outcome data and activity status to NDI’s Research Team and Grants Manager.
      • Assist with travel logistics as needed.
      • Provide executive assistance to the Division Director - Financial Empowerment, and other senior leaders, as requested.
      • Provide exceptional customer service while utilizing exemplary verbal and nonverbal interpersonal and professional communication skills.
      • Effectively manage your time and committed tasks across the multiple projects that you will be supporting.
      • Other duties as assigned.

    QUALIFICATIONS:

    To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Requirements listed below are representative of the knowledge, skill and/or ability required.

      • Bachelor’s degree from an accredited college or university, or formal education sufficient to demonstrate capacity to learn and implement learnings in real-time.
      • 4+ years’ experience in project coordination, working on multiple projects.
      • Ability to multi-task and work on multiple projects and deadlines simultaneously.
      • Demonstrated experience proactively addressing challenges relevant to providing support across multiple tasks and projects.
      • Ability to identify, get approved, and integrate work process improvements and efficiencies.
      • Track record completing assignments accurately and on time.
      • Self-reflective to appropriately evaluate progress and support needs in real-time.
      • Strong technology skills to include competency using:
    • Microsoft Office – SharePoint, OneDrive, Outlook, Word, Excel, Teams, and PowerPoint
    • Zoom - Webinar facilitation, use of polls, surveys, and other interactive features
    • Monday.com (or other project coordination software)
    • HubSpot (or other CRMs)
      • Strong writing and formatting skills to contribute to reports and other documents.
      • Ability to work independently and in a team.
      • Flexible and adaptable to changing circumstances.
      • Excellent communication skills in person, in writing, by telephone, and by email; demonstrating professionalism, courtesy, and respect to a variety of audiences. 
      • Excellent time management and ability to meet deadlines and work under pressure.
      • Experience working with people with disabilities is a plus. 
      • Experience managing and fulfilling requests for ASL and CART a plus.
