    Job Title: Bookkeeper/Finance Manager

    Hours: 10 -12 per Week, Monday – Friday Office Hours (Hourly)

    Reports to: Minister

    Salary: $35.00/hour (Dependent on Experience)

Bellingham Unitarian Fellowship (BUF) is a liberal religious congregation of 191 members and an annual operating budget of approximately, $400,000, established in Bellingham in the early 20th Century With an abundance of volunteer-led committees and teams, BUF includes 2 full-time staff and many part-time and contract employees.

    General Description: The Bookkeeper/Finance Manager is responsible for timely, accurate and complete processing, reconciling and reporting on all transactions of money or in-kind donations coming to, held on behalf of, and being paid out from Fellowship accounts. The Bookkeeper interfaces with volunteers, congregants and staff throughout the Fellowship. The Bookkeeper maintains Fellowship databases detailing Member pledges and other contributions to the Fellowship.

    Typical Duties include, but are not limited to:

    Processing: All Transactions are processed following guidance provided in the BUF Treasurer’s Handbook and following GAAP (Generally Accepted Accounting Practices) guidelines.

    Receive, record, and deposit to Fellowship bank account, all revenue. Receive, record, and distribute as appropriate, all In-Kind contributions.

    Uses EFT (electronic funds transfer) technology to process payments.

    Receive, process, record, and generate checks for all approved payment requests (e.g.; reimbursement requests, invoices, refunds and other approved accounts payable transactions).

    Calculate, record, and pay all Local, Federal and State taxes as required by law, whether monthly, quarterly or annually.

    Conduct and complete monthly payroll processing including time sheets for part time, full time and contract employees. Track and provide needed W-2s and 1099s.

    Generate and process, as required: W-2’s, 1099s, Federal Quarterly 941 Form, L&I Quarterly Tax reports, Quarterly Underpaid Pledge statements, Calendar YE donation statements, and End of Fiscal Year Pledge statements.

    Maintain Fellowship database(s) [data might include membership transactions, program enrollment, and special event transactions].

    Work with the Treasurer and Administrator re budget details, anomalies.

    Work with Stewardship Team during canvass drive - process and record annual pledges.

    Work with the Auction and other teams to process credit cards and delinquent payments.

    Maintain paper and electronic files for Accounts Payable and Accounts Receivable.

    Conduct and complete monthly payroll processing including part time, full time and contract employees.

    Complete disbursements of special collections, monthly and as needed.

    Prepare requested documents/files for annual internal audits.

    Prepare and distribute semi-annual and annual Giving Statements.

    Reconciling:

    Create and Post Journal Entries, as approved by Treasurer.

    Monthly reconciliation of bank and credit card statements.

    Reporting:

    Generate monthly and ad hoc reports [e.g.; Income & Expense, Fund Activity, Balance Sheet, and other special reports, as may be requested by Treasurer, Board, Staff, and team leaders].

    General:

    Participates in regular Financial Oversight Team meetings.

    Annual in-person training for collection counters

    Engages in consistent, clear, respectful communication with all people, whether in person, on the phone or in writing.

    Upgrade to online or cloud-based processes as technology evolves.

    Other duties as assigned

    Qualifications, Abilities and Skills Required:

    2-4 years of experience in an accounting/bookkeeping role.

    Basic Computing skills with experience in Excel, Word and Microsoft Suite of tools. QuickBooks, relational databases, payroll processing and on-line bill pay.

    Experience with multiple systems and interfaces.

    Bachelors Degree in Finance or Accounting or equivalent experience.

    Nonprofit experience in Fund Management a plus.

    Ability to understand and explain financial statements.

    Experience working with Budgets and supporting a budgeting process.

    Skills working in complex environments with many financial moving parts.

    Good written and verbal communication skills.

    Detail oriented.

    Ability to work with sensitive information.
