    Description

    The Immigration Center for Women and Children (ICWC) seeks a full-time finance and operations associate to work with finance and grants and program staff in its Los Angeles office. ICWC is a non-profit legal organization providing free and affordable immigration services to underrepresented women and children in California and Nevada. ICWC strives to provide security and stability for children who are abused, abandoned, or neglected and for women and children who are survivors of domestic violence, sexual assault, or other violent crimes. ICWC works with federal immigration laws that allow survivors to apply for work authorization and lawful permanent residency. More information about ICWC is available at www.icwclaw.org.

    Duties and Responsibilities:

    • Assist with processing grant-related timesheets and invoices, ensuring entries are accurate, complete, and aligned with funding requirements.
    • Serve as the point of contact between internal teams and external IT providers.
    • Coordinate office seating arrangements and act as primary contact for property management and building-related issues.
    • Assist with planning and executing staff events, team-building activities, and internal meetings.
    • Assist with accounts payable processes, including entering invoices and ensuring proper documentation is maintained.
    • Review and process staff reimbursement requests, ensuring receipts and documentation comply with organizational policies.
    • Support payroll processing by assisting with timesheet collection, data entry, and preliminary review for accuracy.
    • Maintain organized financial and grant records to support audits and reporting requirements.
    • Work closely with the Finance Manager and other team members to ensure tasks are completed accurately and on time.
    • Follow established financial procedures and internal controls, escalating questions or discrepancies as needed.
    • Assist with special projects and cross-functional initiatives as needed.

    Qualifications and Requirements:

    • Bachelor’s degree in Finance, Business Administration or a related field required.
    • 0–2 years of relevant experience in accounting, finance, grants administration, or administrative support preferred.
    • Basic understanding of accounting principles and financial processes (e.g., accounts payable, payroll, invoicing).
    • Strong attention to detail and ability to maintain accuracy when handling financial data.
    • Proficiency in Microsoft Office applications, particularly Excel; experience with accounting or financial systems is a plus.
    • Effective organizational and time management skills, with the ability to manage multiple tasks and meet deadlines.
    • Strong written and verbal communication skills.
    • Ability to follow established procedures and work under the supervision of the Finance Manager.
    • High level of integrity and ability to handle sensitive and confidential information.

    Preferred Qualifications:

    • Spanish language proficiency preferred.
    • Experience working in a nonprofit or grants-funded environment is a plus.
