    Description

    The Administrative Assistant provides comprehensive administrative, logistical, and operational support to the Office of Member Engagement and Advancement, ensuring smooth daily operations, continuity, and effective internal coordination.

    Major Duties & Responsibilities

      • Provide comprehensive administrative and operational support to the Office of Membership and Advancement, ensuring efficient day-to-day functioning of the department.
      • Manage calendars, scheduling, and meeting coordination for department leadership, including preparing agendas, briefing materials, and follow-up documentation as needed.
      • Process membership and advancement related invoices.
      • Coordinate travel arrangements and process expense reimbursements, invoices, and payments in accordance with organizational procedures.
      • Serve as the primary administrator for internal workflows, shared calendars, and division-wide tracking systems.
      • Maintain accurate digital and physical records, including contracts, correspondence, reports, and standard operating procedures.
      • Support internal communication and information flow within the department, ensuring timely dissemination of updates, deadlines, and action items.
      • Assist with webinar and event administration, including registration setup, participant tracking, reporting, and logistical coordination.
      • Serve as a backup to the Registrar, assisting with event registration, membership payment processing, and institutional record maintenance as needed.
      • Perform basic data entry, CRM updates, and reporting to support membership, advancement, and sponsorship activities.
      • Order office supplies and manage general administrative needs for the department.
      • Provide operational backup and continuity during peak periods, staff absences, and special projects.
      • Perform additional administrative and operational duties as assigned.

    Required Qualifications

      • Bachelor’s degree preferred or an equivalent combination of education and experience.
      • Three or more years of administrative, coordination, or operational support experience, preferably in a nonprofit, higher education, or membership association setting.
      • Demonstrated excellence in organization, multitasking, and deadline management.
      • Strong written and verbal communication skills.
      • Proficiency with Microsoft Office Suite and familiarity with CRM systems.
      • Ability to handle sensitive information with discretion and professionalism.
      • Strong attention to detail, reliability, and ability to adapt in a dynamic environment.

    This role is internally focused and provides administrative, operational, and continuity support for the full department.

    A reasonable rate of compensation for this position is between $60,000 – $65,000. AAC&U offers exceptional benefits.
