    Hours: 40 per week, including 8:30 am - 12:30 pm on Sundays

    Position Purpose

    The Congregational Administrator plays a vital role in the wellbeing of our congregation by being a central hub that connects members, staff, committees, officers, the Minister, and the Board to each other and to pertinent information. The Administrator is responsible for the overall administration of church operations and communications, as well as administration of our church database. The Administrator is the primary face of the congregation when interacting with renters, vendors, neighbors, and other organizations. The Administrator supervises support staff and works closely with volunteers. The position requires strong communication and coordination abilities, as well as strong organizational and administrative skills.

    As a key staff person in a mid-sized church with limited staffing resources, staff are often called upon to fulfill multiple roles within their job duties. The Administrator must possess the ability to prioritize and manage multiple projects simultaneously.

    Essential Functions

    • Manage the church office (e.g. calendar, equipment, required reporting, office filing system). Manage church database (Breeze) data entry and maintenance, as well as other technology-related platforms (e.g. Google Workspace, phone system, front door scheduling platform, etc).
    • Complete finance tasks in accordance with the Safe Congregations policy, including paying bills, running payroll, completing month-end and year-end processes, and collaborating with the Finance Committee and bookkeeper.
    • Serve as liaison with the Rose Tree Early Learning Center and oversee the Memorial Garden.
    • Serve as the main point of contact through presence in the office, fielding phone calls, answering emails. Serve as the point person for contractors in conjunction with building and grounds committee volunteers. Provide support and training to church committees and volunteers. Provide support to the minister.
    • Provide key human resources functions, including payroll and benefits administration. Complete new hire paperwork and background checks. Supervise and assist in hiring Sexton and Administrative Assistant, and supervise office volunteers as needed.
    • Coordinate church communications (newsletters, social media, and website) in collaboration with volunteers and other staff members.
    • Provide support on Sunday mornings by ensuring visitors, friends, and members have the information they need. Assist with tracking attendance and badges and ensuring volunteers are supported on Sunday mornings.

    • Builds authentic relationships across lines of difference, such as race, ethnicity, sexual orientation, class, ability, gender identity, citizenship status, or other identities and recognizes the value of divergent perspectives.

    The Congregational Administrator should maintain active involvement in the Association of Unitarian Universalist Administrators.

    Qualifications

    • 3 years minimum experience in office management, or the equivalent; experience in not-for-profit organizations preferred. Ability to work with minimal supervision.
    • Competency with computers, including use of the Internet, word processing, and database programs. Experience with Google Workspace, Microsoft Office, Mail Chimp, and Breeze Church Management Software preferred.
    • Bookkeeping or financial management experience.
    • Excellent verbal and written communication, collaboration, problem-solving, and follow-through.
    • Staff and volunteer management experience, preferred.
    • Experience with Canva or basic graphic design, a plus.
