    Description

    Oasis - a Haven for Women and Children is a nonprofit 501 (C) (3) organization located in Paterson, New Jersey. We carry out educational and social services programs that help local women enter and succeed in the workforce and help children flourish academically. We also operate a soup kitchen and provide emergency food, clothing, and social support to city residents in need.

    The Special Events Coordinator provides leadership in the planning, development, and execution of fundraising events designed to inspire donors and advance Oasis’ mission. Key events include, but are not limited to, the organization’s signature Gala, Golf Outing, Shooting Clays event, Oktoberfest, and Lobs for Love.

    Working closely with the leadership team, Board of Directors, and volunteer committees, the Special Events Coordinator is an integral member of the fundraising team. This role is responsible for driving event strategy, strengthening donor engagement, and maximizing revenue through creative and effective event execution.

    Major Responsibilities

      • Plan, coordinate, and execute all fundraising events to ensure success in achieving revenue and engagement goals
      • Develop and implement strategies to solicit event sponsorships and participation through in-person outreach, digital campaigns, and direct mail
      • Identify and cultivate new sponsors while developing innovative revenue streams to enhance event profitability
      • Partner with the development team to align event strategy with broader fundraising and donor cultivation goals
      • Recruit, engage, and manage event committee chairs and members through regular meetings and ongoing communication
      • Oversee all event-related communications, including save-the-dates, invitations, sponsorship materials, registration platforms, email campaigns, social media content, and press outreach
      • Ensure compliance with all legal and administrative requirements, including NJ Legalized Games of Chance registration, raffle licensing, and post-event reporting
      • Manage vendor relationships, contracts, and event-related purchasing
      • Maintain accurate donor and event records in the department’s CRM; process acknowledgments, invoices, and registrations in a timely manner
      • Develop and monitor event budgets, timelines, and guest lists
      • Coordinate internal staff roles and responsibilities for each event; collaborate with Volunteer Coordinators to manage volunteer engagement
      • Lead day-of-event logistics to ensure seamless execution
      • Prepare comprehensive post-event reports, including financial outcomes, attendance metrics, and recommendations for improvement

    *This is a full time 40hr per week position, fully On-Site*

    QUALIFICATIONS/REQUIREMENTS

    • 2–4 years of experience in event planning, fundraising, or nonprofit development
    • Strong organizational and project management skills with attention to detail
    • Excellent written and verbal communication skills
    • Flexibility to work evenings and weekends as required for events
    • Ability to manage multiple projects and deadlines in a fast-paced environment
    • Bachelor’s degree or equivalent experience in nonprofit management, communications, marketing, or related field
    • Genuine interest in and commitment to Oasis’ mission and goals
    • Software proficiency in Microsoft Word, Excel, Power Point (required) ; knowledge and experience in fundraising CRM such as Bloomerang, Raiser’s Edge, Donor Perfect, etc. (required).

    Required of all employees:

    1. Must be able to work legally in the United States.
    2. Must have no record of child abuse/neglect.
    3. Fingerprinting required (Oasis will direct new hire to proper agency for fingerprinting).
    4. Must complete CARI form (Oasis will provide form and submit to proper agency).
