POSITION DESCRIPTION
The HR Assistant, is responsible for providing administrative support to the overall administration and coordination of tasks supporting payroll, recruitment, performance management, staff changes and tasks related to the organizational operations function.
The HR assistant reports to the Associate director and will serve as the liaison between employees, manager and executives regarding sensitive and confidential HR issues, benefit questions and concerns and assist in upholding a positive organizational culture and values. Guided by Legacy LA’s mission, the HR Assistant will be highly service oriented, organized, flexible, efficient, and amicable, with attention to detail, prioritization and integrity.
DUTIES AND RESPONSIBILITIES
Human Resources
- Coordinates and oversees recruitment effort for all staff; places advertisements; works with supervisors to screen and interview candidates; extends job offers; conducts new-employee orientations; health benefit enrollment; conducts exit interviews.
- Establishes and maintains HR records, employee files, and reports. Maintains organizational charts and employee directory.
- Oversees implementation of personnel and operational policies and procedures; maintains employee handbook updated as needed.
- Manage the payroll function including, but not limited to, checking and auditing timekeeping records for compliance with established standards, maintaining time and attendance records, entering new hires into the payroll system, posting changes in pay and tax status, reconciling time of, ensuring proper reimbursements and deductions have occurred, etc
- Administers various Human Resources planning and procedures for all Legacy LA personnel including ensuring OSHA compliance, Worker's Compensation prevention and implementation procedures, and employee training ie. ADP trainings, Mandated Reporter, BTB SSO updates onto sharepoint.
- Supports with the implementation of annual employee performance evaluations, and provides support to team members and management team.
- Supports with annual renewal of health and worker's compensation benefits.
Administrative
- Maintain and monitor key organization files including personnel, etc.
- Cross-trained with Associate Director on quickbooks, closing month process, printing of checks, and supports operations team as needed
- Oversees coordination and communication with partners such as Park and Recs
- Oversees coordination of space use at Legacy LA
- Oversees coordination and communication with Company of Angels
- Assist with personnel documents for all invoicing
- Supports with general insurance annual renewal.
DESIRED QUALIFICATIONS:
- High school diploma minimum; bachelor's degree in HR, business, or psychology preferred.
- 1 to 3 years of general office or HR support experience.
- Strict confidentiality regarding employee data and records.
- Clear verbal and written communication.
- Strong time management and organization for handling multi-task workflow.
- Bilingual Spanish a plus
- Must pass a criminal background check (Live Scan fingerprinting)
- Must present proof of negative Tuberculosis skin test
- Able to work some evenings and weekends
