About this role
The Grants & Development Operations Manager will own the systems, writing, and project management that support CASPR’s institutional grants and major donor development.
On the grants side, this person will identify funding opportunities, lead grant applications, manage grant agreements and compliance, coordinate reporting, and work closely with CASPR’s finance team on grant budgets. While finance will support financial administration, this person will own grant tracking, forecasting, deadlines, and reporting.
On the development side, this person will manage the major donor pipeline and CRM, prepare CASPR leadership for funder conversations, organize donor-facing materials, draft thoughtful follow-up and stewardship communications, and ensure strong follow-through across development activities.
The manager will also use modern AI tools, including Claude Code, Codex, etc, to improve the quality and efficiency of CASPR’s grant and development work. The ideal candidate will be comfortable using or learning these tools and building practical workflows and automations.
What you’ll do
- Manage and expand CASPR’s institutional funding pipeline: Identify relevant foundation, government, and other grant opportunities; assess fit; track deadlines; and recommend opportunities for pursuit.
- Lead grant applications: Manage the application process from initial planning through submission, including developing work plans, coordinating internal inputs, drafting and editing narrative content, assembling attachments, and ensuring complete, accurate, and timely submissions.
- Write compelling proposals and reports: Translate CASPR’s research, clinical, and organizational work into clear, persuasive grant applications, letters of inquiry, concept notes, progress reports, and other funder communications.
- Manage grant agreements and compliance: Maintain a clear record of grant terms, restrictions, deliverables, reporting requirements, approval processes, and deadlines. Surface risks early and coordinate corrective action when needed.
- Own grant tracking, forecasting, and reporting: Work closely with the finance team while maintaining primary responsibility for grant-level tracking, spending forecasts, reporting calendars, and visibility into performance against grant budgets.
- Coordinate grant reporting: Build reporting plans, gather programmatic and financial inputs, draft reports, manage reviews and approvals, and ensure that funders receive complete and timely updates.
- Manage the major donor pipeline: Maintain a clear, current view of existing and prospective donors, including relationship history, stage, touchpoints, deadlines, next steps, and relevant context.
- Drive donor meeting preparation: Create concise meeting briefs covering funder background, relationship history, meeting goals, recommended strategy, likely questions, and proposed next steps. Ensure CASPR leaders have the right information and materials in advance.
- Capture and translate meeting outcomes: Take high-quality meeting notes, document decisions and commitments, and convert conversations into clear action items, owners, and timelines.
- Draft donor follow-up and stewardship communications: Prepare warm, thoughtful, and donor-appropriate follow-up emails, updates, briefing memos, and other communications in partnership with CASPR leadership.
- Maintain donor- and funder-facing materials: Organize and update one-pagers, decks, impact summaries, proposal language, organizational information, budgets, FAQs, and frequently requested attachments.
- Maintain development systems: Keep CASPR’s CRM and development workflows current, accurate, and actionable. Improve the systems used to track relationships, communications, opportunities, commitments, and follow-through.
- Coordinate development projects: Support CASPR’s annual report, funder briefings, stewardship communications, and selected fundraising or cultivation events in partnership with CASPR leadership and administrative staff.
- Use LLMs to strengthen grant and development operations: Apply tools such as Claude Code, Codex, and other approved systems to support prospect research, synthesis, drafting, reporting, data organization, workflow automation, and quality control.
- Build practical AI-enabled workflows: Experiment with new tools, develop repeatable processes, document effective methods, and help CASPR determine where LLMs can meaningfully improve development operations.
- Maintain rigorous human review: Verify facts, calculations, citations, commitments, and funder requirements rather than relying on unreviewed model outputs. Use sound judgment when handling confidential donor, financial, and organizational information.
- Improve development processes: Build practical templates, calendars, workflows, and operating systems that make CASPR’s grant and development work more consistent, efficient, and scalable.
What you’ll need
- 3+ years of experience in grant management, grant writing, development operations, institutional giving, major donor operations, nonprofit fundraising operations, or a closely related role.
- Demonstrated experience managing full grant lifecycles, including prospect research, applications, award documentation, compliance, budget tracking, and reporting.
- Experience supporting major donor operations, donor relations, stewardship, executive fundraising, or a comparable relationship-management function.
- Excellent writing and editing skills, with the ability to produce clear, persuasive, accurate, and audience-appropriate proposals, reports, follow-ups, and donor materials.
- Strong financial and analytical skills, including experience tracking grant budgets, reviewing actuals, developing forecasts, and coordinating with finance teams.
- Exceptional project-management skills and the ability to manage multiple applications, reports, donor activities, deadlines, and stakeholders at the same time.
- Proficiency using modern LLM and agentic tools such as Claude Code, Codex, or comparable systems to conduct research, synthesize information, draft materials, improve workflows, and automate appropriate operational tasks.
- A willingness to experiment with emerging AI tools, learn independently, assess their strengths and limitations, and refine working methods as the technology develops.
- Strong critical judgment when reviewing AI-generated work, including the ability to identify factual errors, unsupported claims, privacy risks, and outputs that do not meet professional standards.
- Experience with foundation grants. Experience with federal funding, clinical research grants, or health-related funding is a plus.
- Experience using a CRM, grants-management platform, project-management system, or similar tools to maintain accurate and actionable information.
- High emotional intelligence, discretion, and sound judgment, particularly when working with sensitive financial, donor, or relationship information.
- Ability to move quickly, operate independently, and build structure in a small, rapidly growing organization.
- A proactive, problem-solving approach and willingness to own work from initial concept through completion.
