    Position Title: Donor & Volunteer Associate

    Supervised By: Development Manager

    • Status: Non

    Exempt, Full-time

    Wage: $24.50/hr - $27.15/hr (approx. $47,700 - $53,000/yr) based on experience.

    About us: Sarah's Circle is a non-profit organization located in Uptown working to end homelessness for women in Chicago since 1979. We provide women a full continuum of services, including housing, life necessities, and supportive services, to help them permanently end their homelessness.

    Summary

    The Donor & Volunteer Associate is primarily responsible for supporting the Development team’s efforts to engage volunteers and track and acknowledge donations. This person will maintain the donor and volunteer CRM database including timely and accurate data entry, thank you letter generation, and the creation of reports/dashboards. The Donor & Volunteer Associate will oversee individual volunteer, in-kind donations, and meal donation activities at Sarah’s Circle. This person will have a strong attention to detail, enthusiasm for recruiting and engaging volunteers, and a desire to work collaboratively with team members to secure the resources necessary to end homelessness for women.

    Responsibilities

    Development Operations

    • Process donations including timely and accurate data entry and generating and mailing/emailing thank you letters to cultivate donors.
    • Maintain constituent records within CRM and recommend improvements for data processes.
    • Accurately complete monthly import of donations from external systems into the agency CRM .
    • Generate reports from the CRM to assist with monthly financial audits between Development and Finance departments to ensure consistency across systems.
    • Generate accurate annual tax receipts.
    • Prepare accurate reports and dashboards as needed for planning and analysis.
    • Provide support for the Board of Directors, the Impact Board and the Associates Board in relation to donor tracking and management.
    • Support third-party fundraising efforts.
    • Promptly and accurately respond to @donations and @volunteer email inquiries.
    • Answer administrative phone calls.
    • Maintain stewardship supplies.
    • Be proficient in all department standard operating procedures and assist others as needed.
    • Schedule email appeals.
    • Consistently audit CRM data for accuracy.

    Volunteer Recruitment, Training, and Coordination

    • Recruit, orient, schedule, and provide ongoing oversight of individual and group volunteers.
    • Manage and steward external groups and organizations providing volunteer or in-kind support.
    • Engage and collaborate with staff to determine the most effective use of volunteers.
    • Ensure volunteer coverage for meal service and develop other opportunities to engage volunteer support.
    • Communicate with program staff as necessary about updates and changes.
    • Represent Sarah’s Circle at speaking engagements, volunteer fairs, and community events as needed.
    • Plan and execute volunteer recognition events and activities.
    • Coordinate in-kind donations by communicating with staff about current needs.
    • Enter and track volunteer and in-kind donation data in the CRM database .

    Events

    • Assist Development Team with all agency-led events.
    • This position occasionally requires work and attendance of events during evenings and weekends. This includes monthly volunteer orientations which occur in the evening.

    Other

    • Represent Sarah’s Circle in a professional manner.
    • Protect organization’s value by keeping information confidential.
    • Attend staff meetings, training, supervisory meetings, and Sarah’s Circle events as instructed by supervisor
    • Perform general tasks and other duties assigned by supervisor.
    • Participate in external networking and fundraising events on behalf of Sarah’s Circle.

    Attendance Required at Events

    • All agency events including Winter Walk
    • Additional speaking events as required

    Qualifications:

    Education

    • Bachelor’s degree in related field preferred but not required

    Job Experience

    • 1-2 years of nonprofit resource development or related experience preferred, including volunteer management and database CRM experience

    Special Knowledge and Skills:

    • Excellent organizational and time management skills with the ability to consistently meet deadlines.
    • Flexibility to switch between tasks as needed.
    • Excellent written and oral communication and presentation skills.
    • Strong computer skills required.
    • Track record of quickly learning new technologies.
    • Capacity to work with individuals from diverse cultural and economic backgrounds.
    • Demonstrated ability to work independently.
    • Knowledge of systemic, societal issues relating to women and homelessness, and the ability to articulate these issues and Sarah’s Circle programming to the public preferred.
    • Office 365, Canva, Adobe, WordPress, and Bloomerang proficiency preferred.

    Health and Safety Requirements/Instructions:

    • Position requires the ability to lift approximately 20 lbs.
    • Employees are advised on OSHA standards through required signage and administrative updates as compliant with federal law
