    Position Summary:

    The Executive Assistant (EA), is a new position that supports the Executive Director (ED). The EA’s primary role is to own various administrative responsibilities to allow the ED to prioritize high-level strategies, execution, and management of all departments to maximize revenue and operations efficiency.

    The EA will assist with communications with internal and external stakeholders, campaign progress and financial reports, writing, proof-reading, and editing appeals, light collateral design, updating constituents’ records in the CRM, scheduling meetings, and supporting other senior team members and departments as needed. The EA will also support all events, special projects, and organizational activities.

    Applicants for the Executive Assistant position must be highly organized, and proficient in Google Workspace, MS Office, project management systems, and CRM’s. The ideal candidate should be resourceful, self-sufficient, anticipate needs, and work well in a fast-past, high-pressure environment. Some experience with fundraising, design, digital media, and/or finance are preferred. The EA should be flexible, a problem-solver, and a team-player that takes direction well.

    Key responsibilities include but not limited to:

    • Correspond with both internal and external stakeholders, including screening calls, e-mails, mails and letters.
    • Facilitate communications and meetings with government agencies, partners, donors, community organizations, volunteers, Members, and Board of Directors
    • Manage and optimize the CEO's complex calendar, scheduling internal and external meetings, events, and travel. This would also include coordinating logistics for colleagues, Board of Directors, and Members.
    • Review NYC Pride’s contracts and agreements with externals parties and ensure all parties fulfill terms and conditions.
    • Manage the ED’s expense reports, and reimbursements.
    • Prioritize competing demands, proactively identify scheduling conflicts, and implement adjustments as necessary.
    • Prepare and distribute briefing materials, i.e., agendas, reports, research, or other documentation on a daily/weekly/month/quarterly basis, or as needed.
    • Transpose meeting notes and generate action items.
    • Create project plans, dashboards, and status reports to support executive decision-making.
    • Organize and maintain the digital filing system, including confidential and sensitive organizational materials.
    • Collaborate with all departments towards NYC Pride’s goals.
    • Perform related duties as assigned for organizational and campaign needs.

    Qualifications:

    • 3-5 years of experience in an administrative/executive support role, preferably in fast-paced environments.
    • Experience with heavy engagement with external constituents and audiences.
    • Savvy with technology, software, systems and tools to improve output, efficiency, and productivity.
    • Experience working with boards, volunteers, vendors, and stakeholders is strongly preferred.
    • Excellent listener, verbal and written communication skills, including ability to effectively communicate with internal and external customers.
    • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
    • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
    • Outstanding organizational and time management skills.
    • Must be willing and able to travel offsite, locally, as needed.
    • Discretion, confidentiality, and professionalism are paramount.

    Additional Information:

    This position is hybrid. Hybrid positions combine regular in-person presence three days per week, typically Tuesdays to Thursdays, at our office in the West Village, with Mondays and Fridays working remotely. During the month of June, presence in the office Mondays-Fridays is strongly recommended. Due to the nature of NYC Pride’s work, participation in meetings and events during the evenings and weekends are frequent, especially from January to June.

    Compensation:

    $66,500 annually
