The Asia Society Policy Institute (ASPI) is a think- and do- tank with a policy-solving mandate that tackles major policy challenges confronting the Asia-Pacific in security and diplomacy; trade, investment, and innovation; climate and energy; and society, technology, and public health.
ASPI seeks an Office and Events Manager to support the day-to-day functioning of the Washington, D.C. office—acting as a first point of contact for incoming visitors and queries, coordinating external support services and managing ongoing office needs, managing event logistics, and providing general administrative support.
RESPONSIBILITIES:
Operations & Administration
- Working closely with the Senior Vice President, Vice President, and Director of Operations, support the management and effective day-to day functioning of ASPI’s Washington, D.C. office, including facilities, vendors, supplies, equipment, access, maintenance requests, IT coordination, and other workplace needs.
- Serve as a primary on-site operational point of contact for the Washington, D.C. office, identifying and escalating operational needs and coordinating with relevant Asia Society teams, building management, and external vendors and networks as appropriate.
- Coordinate correspondence, acknowledgements, and requests for assistance or information from the public or other entities for the D.C. office as appropriate.
- Process invoices and reconcile the monthly expenses of the D.C. office including requesting reimbursement from external partners.
- Coordinate with ASPI staff to maintain shared systems, workflows, calendars, trackers, and documentation.
- Coordinate the daily calendar and travel of the Senior Vice President and lead meeting scheduling, logistics planning, and hosting of in-office guests.
- Keep ASPI DC contact lists up to date and assist with correspondence as needed.
- Support recruitment, onboarding, and other tasks for interns and other employees as assigned.
- Perform other duties as assigned.
Event Management
- Support the planning and execution of in-person and virtual roundtables, public programs, meetings, and other convenings, tracking attendees and speakers; coordinating venues, catering, AV and tech requirements; managing vendors; preparing materials; coordinating support staff; hosting guests; supporting on-site event execution; and other associated tasks.
- Perform other duties as assigned.
Education and Experience
- Bachelor's Degree in related field; Master’s Degree preferred
- At least 3 to 4 years of related work experience
Skills and Abilities
- Demonstrated interest in Asia and Asia-related policy issues (experience in Asia preferred)
- Must be able to coordinate a variety of tasks effectively, simultaneously and consistently follow up on details;
- Enjoys working in a fast-paced environment, where timely and accurate work is expected
- Highly organized, with strong work ethic, attention to detail, and initiative;
- Excellent written and oral communication skills, including proofreading and editing skills, and ability to research information and present it concisely;
- Resourcefulness, with an orientation to measurable results;
- Skilled at interacting across cultures and with diverse constituencies, including experts, trustees, funders/donors, and all levels of staff with tact and good judgment;
- Excellent computer skills. Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook); Canva; Monday.com and project management tools a plus.
- Team player - flexible and willing to assist where needed.
Salary $65,000-$75,000 annually as well as excellent benefits package.
