Position Summary
The Senior Program Manager supports the development, implementation, and ongoing management of KAIS programs and initiatives. This role is responsible for helping translate organizational priorities into measurable, sustainable, and fundable programs that align with KAIS’s mission and long-term goals.
The ideal candidate is a strong operational leader with experience building and managing nonprofit or mission-driven programs from planning through execution. This person is highly organized, comfortable managing multiple workstreams, skilled in people management, and experienced in tracking program outcomes, budgets, and impact metrics.
KAIS is a growing organization focused on practical, mission-driven work at the intersection of AI safety, youth protection, education, and responsible technology. We are looking for someone who enjoys building structure, improving systems, supporting teams, and helping programs move from ideas into real-world impact. Because apparently “someone should probably operationalize this” eventually becomes an actual job description.
Key Responsibilities
Program Management & Execution
- Support the planning, implementation, and continuous improvement of KAIS programs and initiatives
- Develop project plans, timelines, workflows, and operational processes to support successful program delivery
- Coordinate across staff, volunteers, contractors, and external partners to ensure deadlines and deliverables are met
- Identify operational challenges and proactively recommend solutions
- Help ensure programs remain aligned with organizational priorities, funding objectives, and measurable outcomes
- Support leadership in turning organizational priorities into actionable implementation plans
Program Measurement & Reporting
- Track program outcomes, participation metrics, and key performance indicators across KAIS initiatives
- Support the development of measurable program goals and evaluation frameworks
- Maintain accurate program documentation, reporting systems, and operational records
- Assist with data collection and reporting for grant applications, donor reports, board materials, and partnership updates
- Monitor program budgets and support resource allocation planning
- Help evaluate program effectiveness and identify opportunities for improvement and growth
Team Leadership & Coordination
- Supervise assigned staff and support day-to-day accountability and performance management
- Conduct regular check-ins and provide coaching, guidance, and operational support
- Foster a collaborative, mission-driven, and solutions-oriented team culture
- Help identify staffing, volunteer, and operational support needs as programs grow
- Coordinate workflows across multiple projects and departments to improve communication and execution consistency
Partnership & Community Engagement
- Support the development and coordination of partnerships with schools, nonprofits, community organizations, researchers, and other external stakeholders
- Assist with outreach efforts related to program growth and collaboration opportunities
- Represent KAIS professionally in meetings, community events, and partnership discussions as needed
- Help maintain strong working relationships with external collaborators and vendors
Operational & Administrative Support
- Support leadership with program updates, operational reporting, and organizational planning
- Coordinate with external vendors and contractors supporting program operations, communications, and digital initiatives
- Help improve internal systems, workflows, and operational efficiency
- Utilize technology and AI tools to support productivity, organization, and program delivery where appropriate
- Support organizational efforts related to sustainability, scalability, and long-term program growth
Qualifications
Required
- Five or more years of experience in program management, nonprofit operations, workforce development, education initiatives, community programs, or related fields
- Experience developing, implementing, and managing programs with measurable outcomes
- Strong people management and team coordination skills
- Experience tracking budgets, program metrics, and operational performance
- Strong organizational, communication, and problem-solving skills
- Ability to manage multiple priorities in a fast-paced, evolving environment
- Comfortable using technology platforms and AI tools to support operational efficiency and collaboration
- Ability to work in a hybrid environment in the Boston area
Preferred
- Experience supporting grant-funded or mission-driven programs
