Development Assistant
Reports to: Chief Development Officer
Location: Main Office
Status: Part-Time, Non-Exempt
Hours of work: 20 hours per week as scheduled
Position Summary
The Development Assistant supports the organization’s fundraising efforts by managing in-kind donations, including solicitation, retrieval, acceptance, storage, and tracking. This role also provides essential administrative support to the Development team to ensure smooth operations, accurate records, and timely communication with donors and internal staff.
Essential Responsibilities
In-Kind Donations & Fundraising Support:
- Coordinate the solicitation, pickup, and delivery of in-kind donations from individual and corporate donors.
- Manage the intake process for donated items, including inspection, acknowledgment, and documentation.
- Organize and maintain storage spaces for donations, ensuring items are secure, accessible, and properly cataloged.
- Track inventory of in-kind donations and prepare reports for development and program staff.
- Collaborate with the Development Coordinator to ensure that thank-you letters, donation acknowledgments, and other correspondence for in-kind donors are provided.
- Collaborate with Development staff to plan and execute special fundraising events that involve in-kind contributions.
- Manage the Amazon Wish List.
Administrative Support:
- Manage the daily processing of mailed donations by opening mail, copying checks, accurately coding contributions, and ensuring timely delivery to the Finance team.
- Maintain accurate donor and donation records in the organization’s database in coordination with the Development Coordinator.
- Assist with preparation and mailing of donor communications, campaigns, and acknowledgments.
- Support the Development team with scheduling, meeting preparation, and general office tasks.
- Assist in research and preparation of donor and grant reports as needed.
- Provide general support to other team members as required to ensure effective development operations.
Event and Program Support
- Assist with planning and coordination of fundraising and stewardship events, including in-house mailings (e.g., Annual Report).
- Support the Chief Development Officer, Fundraising and Event Manager, and Grant Writer as needed.
Additional Responsibilities
- Attend All Staff meetings and trainings.

Qualifications
- 1–3 years of development/fundraising experience in a similar environment
- Proficiency in donor development systems (e.g., GiftWorks), Microsoft Office, and general internet tools
- Willingness to attend meetings and events outside of normal business hours as needed
Working Conditions
This position requires work to take place in a professional office setting equipped with standard office equipment. The work environment typically has a low to moderate noise level. Occasional travel may be required to attend meetings, events, or conferences. Additionally, schedule flexibility may be necessary at times to meet submission deadlines or to participate in events held during evenings or weekends.
Physical Demands
- Ability to remain in a stationary position for extended periods (e.g., sitting or standing).
- Ability to operate standard office equipment, including computers and phones.
- Must be able to lift and carry up to 25 pounds (e.g., outreach materials, program supplies).
- Occasional driving, walking, or standing at outreach or court sites.
