Description
Role Summary
The Adoption Coordinator plays a critical role in ensuring adoptable pets are visible, well-presented, and moving efficiently through the adoption pipeline. This role focuses on maintaining listings, tracking progress, and coordinating promotion efforts to support successful placements.
Key Responsibilities
Visibility & Listings
- Create and maintain adoption listings (Petstablished, Petfinder and other platforms)
- Ensure profiles are complete, accurate, and up to date (photos, bios, status)
- Update listings as animals move through the pipeline
Pipeline Tracking
- Monitor length of stay (LOS) and flag animals needing attention
- Track adoption progress and identify delays or gaps
- Support reporting on adoption activity as needed
Promotion & Coordination
- Trigger and coordinate promotions for animals needing visibility
- Collaborate with Marketing (if applicable) on featured pets
- Ensure high-priority animals are surfaced appropriately
- Communicate updates that impact adoption readiness
Success Looks Like
- Accurate, up-to-date adoption listings at all times
- Reduced length of stay through improved visibility
- Smooth coordination across adoption roles
- No animals “falling through the cracks”
Requirements
- Must be at least 18 years of age
- Must be dependable and able to consistently follow through on assigned tasks. This role directly impacts how quickly pets become available for adoption and find homes.
- Must have reliable access to a computer and internet connection
- Must be comfortable using email, Google Workspace, and online platforms
- Must be able to commit to approximately 3 hours per week on a consistent basis
- Must respond to communications and assigned tasks within 24–48 hours whenever possible
- Must be highly organized and detail-oriented
- Must be able to work independently with minimal supervision
- Must be willing to learn The Rescue Crew's adoption platforms, processes, and procedures
- Must support The Rescue Crew's mission and commitment to animal welfare
- Previous experience with animal rescue, customer service, marketing, data entry, administration, or project coordination is helpful but not required
Preferred Qualifications
- Familiarity with Petstablished, Petfinder, Adopt-a-Pet, Airtable, Canva, or similar platforms
- Experience writing marketing or promotional content
- Experience working in animal welfare or rescue
- Experience managing projects, databases, or administrative workflows

- ~3–5 hours per week (flexible, remote)
