    Description

    The Project Manager will support the Board of Directors by coordinating strategic initiatives, ensuring accountability for board decisions, and driving projects from planning through execution. This role serves as the operational backbone of the Board by managing timelines, facilitating communication, coordinating committees, and ensuring that organizational priorities move forward efficiently.

    The Project Manager will work closely with Board members, committee chairs, volunteers, staff, and external partners to keep initiatives on track and aligned with the Foundation's mission.

    Key Responsibilities

    Board Governance & Operations

    • Ensure timely completion of Board action items, deliverables, and strategic initiatives.
    • Coordinate Board projects and committee initiatives from planning through execution.
    • Develop and maintain Board work plans, annual calendars, and project roadmaps.
    • Prepare Board and committee meeting agendas in collaboration with Board leadership.
    • Track Board resolutions, decisions, and follow-up actions.
    • Maintain accountability by monitoring progress and reporting project status to the Board
    • Support governance processes and ensure consistency in Board operations.

    Project Management

    • Develop project plans, timelines, milestones, and deliverables.
    • Manage project tracking, task assignments, and progress using OpenProject
    • Monitor project health, budgets (where applicable), risks, dependencies, and resource needs.
    • Identify blockers early and recommend solutions to maintain project momentum.
    • Coordinate multiple concurrent projects while balancing competing priorities.
    • Ensure successful project completion through effective planning and follow-through.

    Communication & Coordination

    • Serve as the primary coordinator between Board members, committees, volunteers, staff, consultants, and external partners.
    • Maintain clear communication regarding Board priorities, expectations, deadlines, and project updates.
    • Facilitate meetings and prepare agendas, meeting notes, action items, and status reports.
    • Ensure stakeholders remain informed and aligned throughout project lifecycles.
    • Foster collaboration across cross-functional teams and committees.

    Process Improvement

    • Establish and improve project management processes and workflows.
    • Maintain documentation, project records, templates, and operational procedures.
    • Promote consistency in planning, reporting, and project execution.
    • Recommend improvements to governance and operational efficiency.
    • Support organizational knowledge management and project continuity.

    Strategic Support

    • Assist the Board in executing strategic plans and organizational priorities.
    • Support fundraising, events, partnerships, or special initiatives as assigned.
    • Prepare reports, dashboards, and performance metrics for Board review.
    • Contribute to continuous improvement and organizational capacity building.

    Required Qualifications

    • Experience managing projects from initiation through completion.
    • Strong understanding of project management methodologies (Agile, Waterfall, or Hybrid).
    • Experience using project management software (OpenProject preferred; equivalent platforms acceptable).
    • Excellent organizational and time-management skills.
    • Strong written and verbal communication skills.
    • Ability to facilitate meetings and coordinate diverse stakeholders.
    • Strong analytical, problem-solving, and decision-making abilities.
    • Ability to manage multiple priorities in a fast-paced environment.
    • High level of professionalism, discretion, and accountability.
    • Proficiency with Google Workspace.

    Preferred Qualifications

    • Project Management Professional (PMP), Certified Associate in Project Management (CAPM), Certified ScrumMaster (CSM), or equivalent certification.
    • Experience working with nonprofit organizations or Boards of Directors.
    • Experience supporting governance committees or executive leadership.
    • Experience managing technology, software, or digital transformation projects.
    • Familiarity with CRM, fundraising, learning management systems (LMS), or volunteer management platforms.
    • Experience coordinating remote or distributed teams.
    • Knowledge of strategic planning and organizational development.
