    Description

    Position Summary

    The Finance Coordinator will play a key role in building and maintaining the financial infrastructure of Safe Haven Space as the organization transitions toward more formalized nonprofit accounting practices. This role will focus on implementing and maintaining accrual-based accounting, strengthening financial reporting, and ensuring alignment with nonprofit financial management standards.

    The Finance Coordinator will work closely with the Executive Director, Treasurer, and Finance leadership to support the organization’s long-term financial sustainability, with a strong emphasis on the effective use of QuickBooks Online for Nonprofits as the system of record.

    Key Responsibilities

    Accrual Accounting & Financial Systems

    • Support the transition to and ongoing maintenance of accrual-based accounting practices, including tracking receivables, payables, and deferred revenue where applicable
    • Maintain accurate and timely financial records in QuickBooks Online for Nonprofits, ensuring proper categorization, class tracking, and alignment with nonprofit reporting standards
    • Assist in reconciling bank and financial accounts on a monthly basis

    Budgeting & Financial Planning

    • Support development and monitoring of the organization’s annual budget in collaboration with the Executive Director, Treasurer, and Program Team
    • Track budget vs. actual performance and flag variances for review
    • Provide basic financial insights to support planning and decision-making

    Financial Reporting

    • Prepare monthly and quarterly financial reports, including income and expense statements and budget comparisons
    • Support development of clear, board-ready financial summaries
    • Contribute to building a consistent financial reporting cadence aligned with nonprofit best practices

    Compliance & Nonprofit Standards

    • Help ensure compliance with nonprofit accounting standards and regulatory requirements
    • Support preparation for required filings (e.g., Form 990) and any future audit or review processes
    • Assist in maintaining and implementing financial policies and internal controls

    Grants & Fundraising Support

    • Collaborate with the Grant Writer to develop and track grant budgets using accrual-based tracking
    • Support financial reporting for grants, ensuring expenses are properly allocated and documented
    • Assist in tracking restricted vs. unrestricted funds

    Cash Flow & Financial Operations

    • Monitor cash flow and provide basic recommendations to support financial stability
    • Track incoming donations and ensure proper recording in coordination with fundraising platforms (e.g., Givebutter)
    • Support reimbursement tracking and timely processing

    Organizational Development

    • Help strengthen financial processes, documentation, and internal workflows
    • Contribute to building a scalable financial infrastructure as the organization grows
    • Support future financial functions such as payroll implementation as capacity increases

    Time Commitment

    Approximately 10–15 hours per month, with flexibility depending on organizational needs and reporting cycles.

    Ideal Candidate Profile

    • Familiarity with QuickBooks Online (nonprofit experience preferred)
    • Basic understanding of accrual accounting principles
    • Interest in nonprofit financial management and building systems from the ground up
    • Strong attention to detail and reliability
