    Description

    The Talent Acquisition Operations Lead helps drive the day-to-day effectiveness of the recruiting function by creating structure, improving processes, strengthening data and reporting, and supporting a consistent experience for candidates and hiring managers.

    This volunteer role combines recruiting operations, hiring manager partnership, candidate management, recruiting analytics, sourcing support, systems administration, and process improvement. The Talent Acquisition Operations Lead will help ensure recruiting activity is organized, measurable, and scalable while supporting hiring across the organization.

    This is an ideal opportunity for someone who is a builder, enjoys improving systems and workflows, and can balance operational ownership with hands-on recruiting support.

    Key Responsibilities

    Recruiting Operations

    • Coordinate and maintain job postings across LinkedIn, Idealist, organizational websites, referral channels, and other recruiting platforms.
    • Maintain accurate job requisition, candidate, interview, and hiring information within recruiting systems and tracking tools.
    • Monitor open positions and candidate pipelines to ensure recruiting activity remains current and organized.
    • Develop and maintain recruiting templates, trackers, interview documentation, and operational resources.
    • Help establish consistent recruiting processes, workflows, and standards across the organization.
    • Identify opportunities to improve recruiting efficiency through process improvement, technology, and automation.

    Hiring Manager Partnership

    • Partner with hiring managers to clarify hiring needs, job requirements, competencies, and candidate profiles.
    • Help translate staffing needs into clear job descriptions, screening criteria, and interview requirements.
    • Guide hiring managers through recruiting processes, expectations, and candidate selection steps.
    • Support interview planning and help ensure consistent evaluation practices.

    Candidate & Recruiting Support

    • Support sourcing and screening activities as needed.
    • Coordinate interviews between candidates, recruiters, and hiring managers.
    • Manage candidate communications throughout the recruiting process.
    • Support offer preparation, approvals, documentation, and candidate follow-up.
    • Help ensure a professional, responsive, and consistent candidate experience.

    Recruiting Data & Analytics

    • Build and maintain recruiting dashboards, reports, and hiring trackers.
    • Track key recruiting metrics, including time-to-fill, pipeline conversion, source effectiveness, candidate volume, interview activity, offer acceptance, and overall hiring progress.
    • Monitor recruiting data quality and ensure candidate and requisition information is accurate and current.
    • Prepare recruiting updates and reports for People leadership and hiring managers.
    • Analyze recruiting data to identify trends, bottlenecks, and opportunities for improvement.

    Candidate-to-Onboarding Transition

    • Partner closely with People Operations to ensure a smooth transition from candidate selection to new hire or volunteer onboarding.
    • Confirm required candidate and hiring information is complete prior to onboarding.
    • Coordinate documentation and status updates between Talent Acquisition and People Operations.
    • Help ensure new hires and volunteers receive timely communications and a seamless transition into the organization.

    Qualifications

    • Experience in Talent Acquisition, Recruiting Operations, Recruiting Coordination, HR Operations, People Operations, or a related field.
    • Strong understanding of the end-to-end recruiting lifecycle.
    • Experience partnering with hiring managers to define and support hiring needs.
    • Experience working with applicant tracking systems, recruiting platforms, spreadsheets, and candidate databases.
    • Comfortable building and maintaining recruiting reports, dashboards, and metrics.
    • Strong organizational, project management, and prioritization skills.
    • Excellent written and verbal communication skills.
    • Strong attention to detail and commitment to data accuracy.
    • Ability to manage multiple requisitions, candidates, and priorities simultaneously.
    • Comfortable working in a growing environment where systems and processes are still being built.

    Preferred Qualifications

    • Experience supporting Talent Acquisition in a startup, nonprofit, or rapidly growing organization.
    • Experience with LinkedIn, Idealist, ATS platforms, Google Workspace, and recruiting technology.
    • Experience developing recruiting dashboards or pipeline analytics.
    • Experience improving or building recruiting workflows, processes, and systems.
    • Interest in recruiting automation, technology, and continuous improvement.
