PRIMARY PURPOSE
- The CRM & Data Systems Manager is responsible for the administration, integrity, reporting, and financial data management of the organization's Customer Relationship Management (CRM) system.
This role ensures accurate tracking of donor, volunteer, sponsor, and program data while supporting financial reconciliation between Bloomerang CRM and QuickBooks accounting systems. The position also supports data automation, system integrations, and reporting insights to strengthen fundraising, volunteer engagement, and operational decision-making.
QUALIFICATIONS
- Hands-on experience with Bloomerang CRM or similar CRM platforms, with the ability to manage database records, reporting, and system workflows.
- Experience with CRM platforms (Salesforce, HubSpot, etc. preferred but not required)
- Strong data management and organizational skills
- Experience generating reports and analyzing donor and engagement trends
- Experience integrating CRM systems with website forms, email platforms, and accounting tools
- Experience with accounting software, preferably QuickBooks
- Ability to work independently and troubleshoot system issues
- Strong communication and training skills
- Passion for nonprofit missions and community impact
KEY RESPONSIBILITIES/DUTIES
CRM Administration & Data Management
- Manage and maintain the Bloomerang CRM platform to ensure accurate donor, volunteer, sponsor, and community records
- Perform data entry and record updates for new contacts and participants
- Conduct data imports from website forms and external spreadsheets
- Identify and resolve duplicate records and data inconsistencies
- Perform routine CRM audits to maintain data integrity and reporting accuracy
- Ensure records are categorized and structured for efficient reporting and outreach
Data Integration & Automation
- Support integrations between CRM, website forms, spreadsheets, and communication tools
- Improve data workflows to reduce manual processing and errors
- Develop scripts to automate data transformations and CRM imports
- Build tools that convert spreadsheets into structured CRM datasets
- Test automation scripts and validate outputs before production use
(These may be more advanced technical functions than the organization needs.)
Communication Automation & Engagement Tracking
- Support communication and outreach efforts by preparing CRM data, lists, and segmentation filters for donor, volunteer, and sponsor communications when needed
- Monitor engagement activity across supporter types
- Generate reports analyzing engagement trends and outreach performance
Reporting & Data Analysis
- Create and maintain CRM reports tracking donor engagement, volunteer activity, and program participation
- Build datasets and filters to support targeted outreach and communications
- Validate report outputs to ensure data accuracy
- Provide leadership with insights on donor retention and engagement trends
Program & Event Data Management
- Enter and update participant records for support programs and services within the CRM system to maintain accurate program data.
- Manage event registration data and participant lists
- Prepare datasets for fundraising events and program reporting
- Ensure program and event data is accurately reflected in CRM reporting
Financial Donation Processing & Reconciliation
- Process and record donations within the CRM system
- Record and enter cash, check, and electronic donations (e.g., Zelle or other platforms) into the CRM to support accurate financial synchronization with QuickBooks.
- Prepare deposit summaries to support accounting reconciliation
- Ensure proper categorization of donations for reporting and compliance
In-Kind Donation Management
- Record and track in-kind donations within the CRM
- Ensure proper classification of deductible and non-deductible contributions
- Review and correct tax classification when necessary
CRM & Accounting System Integration
- Maintain and troubleshoot the Bloomerang – QuickBooks integration
- Investigate discrepancies between CRM donation records and accounting reports
- Coordinate with leadership to validate financial reporting accuracy
Fund & Financial Structure Management
- Create CRM funds for campaigns, events, and programs
- Configure funds to align with QuickBooks accounting classes
- Update fund structures when new initiatives are introduced
Financial Data Governance
- Review donation data before synchronization with accounting systems
- Monitor financial data mappings and correct errors
- Investigate and resolve financial data discrepancies
- Ensure accurate reporting across CRM and accounting systems
CRM Training & Optimization
- Train team members on CRM usage and best practices
- Provide guidance to volunteers using CRM tools
- Continuously optimize CRM workflows as organizational needs evolve
Documentation & Process Support
- Document CRM workflows and operational procedures
- Create templates and tools to standardize data processes
- Provide training resources for staff and volunteers
KEY ORGANIZATIONAL IMPACT
This role supports the organization by:
- Maintaining accurate donor, volunteer, and sponsor records
- Strengthening fundraising reporting and donor tracking
- Supporting engagement outreach and communications
- Ensuring accurate donation tracking and financial reconciliation
- Supporting system integration between Bloomerang and QuickBooks
- Improving operational efficiency through better data management
TIME COMMITMENT
- Volunteer role with flexible hours (estimated 4–6 hours per week)
- Remote, with occasional virtual meetings as needed
