    Description

    Position Summary:

    The Assistant Director of Operations (ADO) is a key leadership volunteer role that supports the Executive Director in managing the daily operational functions of g3 Games. The ADO oversees and coordinates the work of essential operational volunteers to ensure consistency, efficiency, and alignment with organizational goals.

    This role is ideal for someone who enjoys organizational leadership, cross-team coordination, systems thinking, and helping a growing nonprofit operate effectively. The Assistant Director of Operations will play a critical part in strengthening the infrastructure behind community programs, events, and outreach initiatives.

    Key Responsibilities:

    • Operational Leadership & Coordination
      • Provide direct supervision, coaching, and support for operational team leads.
      • Ensure operational systems, processes, and workflows run smoothly and efficiently.
      • Assist the Executive Director in translating organizational goals into actionable operational plans.
      • Support capacity planning, role clarification, and volunteer resource needs across the organization.
    • Team Management & Support
      • Hold regular check-ins with each operational lead to monitor progress, identify challenges, and provide support.
      • Promote communication and collaboration between operations, events, programs, and leadership teams.
      • Facilitate monthly or quarterly operations team meetings.
      • Encourage a positive, inclusive, and mission-aligned volunteer culture.
    • Processes, Systems, & Organizational Development
      • Assist in documenting and improving standard operating procedures (SOPs).
      • Support the development and maintenance of shared organizational tools (Google Workspace, project trackers, communication channels).
      • Identify areas where workflow improvements or new systems are needed.
      • Help maintain consistent internal communication practices across teams.
    • Cross-Department Collaboration
      • Work closely with the Executive Director to ensure alignment between programs, events, and operations.
      • Collaborate with Program Leads to support operational needs.
      • Partner with Communications Leads to maintain consistency of public messaging.
      • Provide assistance to the Finance Manager for operational reporting when needed.
    • Administrative Oversight
      • Support the Executive Director with administrative tasks as needed.
      • Help maintain organizational documentation, shared drives, and internal resources.
      • Assist with preparing reports or summaries for the Board of Directors when requested.
      • Participate in leadership team meetings representing the operations department.
    • Volunteer Engagement & Culture
      • Support the Volunteer Manager in fostering a strong, healthy volunteer community.
      • Help establish clear expectations, accountability structures, and recognition practices.
      • Encourage volunteer development and role advancement opportunities.

    Qualifications

    • Required
      • Strong organizational and leadership abilities.
      • Experience managing people, teams, or cross-functional projects (professional or volunteer).
      • Excellent communication and interpersonal skills.
      • Ability to coordinate multiple tasks and stakeholders with clarity and empathy.
      • Comfort with digital tools (Google Workspace, Discord, project management tools).
      • A commitment to g3 Games’ mission, vision, guiding principles, and community-centered culture.
    • Preferred
      • Experience with nonprofit operations, event management, or community organizations.
      • Background in operations, administration, management, or organizational development.
      • Ability to develop systems, procedures, and documentation.
      • Familiarity with tabletop gaming communities.
