Assistant Director, Volunteer Mentorship and Supports #024
Details
Description
The ImpactKits Project is a student-led community service initiative that mobilizes communities to collect essential supplies, assemble care kits, and support individuals and families experiencing hardship.
We operate as a fiscally sponsored project of The Hack Foundation (d.b.a. Hack Club), a registered 501(c)(3) public charity. Our student leadership team manages day-to-day operations while working to build a welcoming, organized, and sustainable volunteer community.
About the Role
We're seeking a compassionate, experienced US-based adult professional to join our organization as Assistant Director, Volunteer Mentorship & Support.
This is a broad, organization-wide role focused on ensuring that every ImpactKits volunteer has the guidance, resources, communication, and support they need to contribute meaningfully. You'll help volunteers navigate challenges, strengthen their connection to the organization, develop their skills, and find ways to remain engaged over time.
Working alongside our student leadership team, you'll help build a volunteer culture where people feel welcomed, heard, supported, and equipped to succeed. Rather than focusing on a single department or project, you'll provide support across the organization, helping address volunteer needs wherever they arise.
This role is particularly suited to someone who enjoys mentoring young people, strengthening teams, resolving organizational challenges, and helping volunteers find a meaningful place within a growing initiative.
What You'll Do
Volunteer Mentorship & Individual Support
- Serve as an approachable point of contact for volunteers who need guidance, assistance, or someone to talk through a challenge with.
- Help volunteers navigate responsibilities, workload concerns, communication difficulties, and organizational processes.
- Provide mentorship, constructive feedback, and encouragement to help volunteers develop their skills and confidence.
- Help volunteers identify opportunities that better align with their interests, strengths, availability, and goals.
- Support volunteers through transitions, periods of reduced availability, role changes, and offboarding.
Volunteer Engagement & Retention
- Develop and improve strategies to strengthen volunteer satisfaction, participation, and long-term retention.
- Identify barriers that prevent volunteers from participating consistently and work with leadership to address them.
- Help create a welcoming environment where volunteers feel recognized, included, and connected to the organization's mission.
- Encourage regular communication, meaningful contributions, and healthy team relationships.
- Review engagement trends and volunteer feedback to identify opportunities for improvement.
- Help re-engage inactive volunteers where appropriate and develop thoughtful approaches to maintaining involvement.
Onboarding, Development & Volunteer Experience
- Help new volunteers understand the organization, their responsibilities, and the resources available to them.
- Identify gaps in onboarding, training, documentation, and ongoing support.
- Develop practical mentorship resources, guidance materials, and support processes.
- Help volunteers understand expectations and access assistance when they encounter obstacles.
- Collaborate with department leaders to improve the overall volunteer experience across teams.
Organizational Coordination & Problem-Solving
- Work with directors and team leaders to identify recurring volunteer challenges and develop organization-wide solutions.
- Help resolve misunderstandings, communication breakdowns, and coordination difficulties.
- Recommend improvements to volunteer policies, internal processes, and support systems.
- Help ensure volunteer concerns reach the appropriate person and receive timely, thoughtful follow-up.
- Support a respectful, accountable, and inclusive organizational culture.
Specialized Volunteer Oversight & Documentation
- Provide direct supervision, guidance, and ongoing oversight to volunteers whose responsibilities require formal supervision, including international student volunteers where applicable.
- Conduct regular check-ins, review work progress, and maintain accurate records of assigned responsibilities, work performed, and hours completed.
- Verify and sign immigration-related documentation, including applicable OPT employment or volunteer verification forms and letters, within the scope of the individual's actual supervisory responsibilities and signing authority.
- Serve as an authorized organizational point of contact for relevant verification requests, responding accurately to inquiries about a volunteer's role, duties, hours, and supervision.
- Coordinate with organizational leadership and The Hack Foundation (Hack Club) to ensure that documentation uses the correct organizational information and is completed in accordance with applicable requirements.
- Maintain appropriate documentation and confidentiality when handling sensitive volunteer and immigration-related records.
These specialized responsibilities will apply only where appropriate; the central focus of the role remains supporting the broader volunteer community.
Who We're Looking For
- An adult professional with experience in mentorship, volunteer management, human resources, nonprofit operations, coaching, team development, or a related field.
- Someone empathetic, approachable, dependable, and comfortable supporting people with different needs and levels of experience.
- A strong communicator who can listen carefully, handle sensitive conversations thoughtfully, and help people work through challenges.
- Someone who can balance compassion with accountability and help volunteers find constructive paths forward.
- A proactive problem-solver who can recognize patterns, identify organizational gaps, and develop practical solutions.
- Someone comfortable collaborating with a student-led leadership team and helping young people succeed without unnecessarily taking over their responsibilities.
- A professional who respects confidentiality, maintains appropriate boundaries, and exercises sound judgment when handling volunteer concerns.
Experience with volunteer retention, youth mentorship, organizational development, or conflict resolution is especially welcome.
Time Commitment & Structure
This is an unpaid, remote volunteer advisory position. The expected time commitment and responsibilities will be discussed and agreed upon with the selected candidate.
The Assistant Director will collaborate with organizational leadership while providing support across departments and volunteer teams. Priorities may evolve in response to volunteer needs and organizational growth.
Any formal supervisory authority or responsibility for signing organizational documentation will be separately established and limited to what the individual is authorized to perform.
What You'll Gain
- The opportunity to make a meaningful difference in the experience of every volunteer at ImpactKits.
- The chance to mentor young people and support a student-led community initiative.
- An opportunity to help shape the systems and culture of a growing organization.
- Experience collaborating with a diverse, mission-driven team.
- The satisfaction of helping volunteers feel supported, develop their abilities, and continue contributing to their communities.
Our Approach
At ImpactKits, supporting volunteers means more than helping them complete their tasks. We want people to have the guidance, flexibility, and sense of belonging they need to contribute sustainably.
The Assistant Director, Volunteer Mentorship & Support will help bring that commitment to life across our organization.
