Description
Help Believe in Me coordinate dependable administrative systems for programs serving underserved youth and young people.
The volunteer Office Manager will organize approved remote office workflows, records, supplies, schedules, correspondence, service requests, and optional Seattle office support.
Responsibilities:
- Maintain approved administrative calendars, procedure guides, contact directories, shared files, and request trackers
- Coordinate mail, supplies, equipment, scheduling, meeting logistics, document routing, and vendor follow-up
- Support consistent intake and handoff of public, volunteer, partner, donor, and program inquiries
- Maintain secure records, naming conventions, retention schedules, and access boundaries
- Coordinate optional local tasks with authorized Seattle volunteers or vendors
- Track routine operational needs, renewals, inventory, and approved expenses
- Protect participant, donor, volunteer, personnel, banking, legal, and vendor information
- Avoid signing agreements, approving purchases, disclosing private information, or making program decisions without authority
- Escalate safety, privacy, access, vendor, facilities, or financial concerns promptly
Qualifications:
- Experience in office management, administration, operations, executive support, nonprofit programs, facilities, or customer service
- Strong organization, discretion, documentation, scheduling, and follow-through
- Comfort with shared drives, email, calendars, spreadsheets, virtual meetings, and office systems
- At least 21 years old and willing to complete screening and confidentiality requirements
- Ability to coordinate remote work and optional Seattle support
This is a primarily remote, recurring role available within the United States, with optional Seattle tasks coordinated separately. Expect approximately 4–8 hours per month.
