Position Overview:
The Project Administrator will be responsible for overseeing administrative and financial tasks related to project management, including grant submission and reporting, contract management, finance and accounting, and payment processing. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently to ensure the successful execution of project objectives.
Key Responsibilities:
Grant Management:
- Prepare and submit grant applications, ensuring compliance with funding requirements.
- Monitor grant deadlines and reporting schedules.
- Compile and submit grant reports, including financial and programmatic updates.
- Track and document grant expenditures to ensure proper fund utilization.
Contract Administration:
- Draft, review, and manage contracts with vendors, partners, and stakeholders.
- Ensure compliance with contractual obligations and organizational policies.
- Maintain an organized system for contract documentation and renewals.
Finance & Accounting:
- Assist in the development and monitoring of project budgets.
- Process invoices, payments, and reimbursements in a timely manner.
- Maintain accurate financial records and prepare financial reports.
- Coordinate with accountants and auditors to ensure compliance with financial regulations.
Payments & Procurement:
- Oversee procurement processes, ensuring compliance with organizational and funder requirements.
- Manage payment schedules and process disbursements to vendors and contractors.
- Reconcile financial transactions related to project activities.
Administrative Support:
- Maintain project records, documentation, and correspondence.
- Support project team members in administrative tasks as needed.
- Assist with meeting coordination, scheduling, and minute-taking.
Qualifications & Skills:
- Bachelor’s degree in Business Administration, Finance, Public Administration, or a related field.
- Experience in grant writing, grant management, or nonprofit administration preferred.
- Strong financial acumen and familiarity with accounting principles.
- Excellent organizational and project management skills.
- Proficiency in Microsoft Office Suite, accounting software, and project management tools.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively within a team.
