    Description

    The Event Committee Lead supports the Board and Executive Director in delivering events that are purposeful, well‑scoped, and achievable within organizational capacity.

    Key Responsibilities

    Event Strategy & Alignment

    • Advance Board‑approved event goals (fundraising, engagement, visibility).
    • Translate annual goals into clear committee priorities, timelines, and success measures.
    • Maintain visibility into upcoming events to identify capacity needs, risks, and opportunities early.

    Committee Leadership

    • Lead a small Event Committee; ensure members have clear roles, realistic tasks, and a shared understanding of event purpose and scope.
    • Match work to volunteer strengths and availability; foster a positive, collaborative culture.
    • Recruit additional volunteers as needed.

    Executive Director Partnership

    • Hold regular check-ins to review timelines, resourcing, and decisions.
    • Surface risks, dependencies, or capacity challenges early.
    • Serve as a thought partner on scope, sequencing, and prioritization.

    Coordination & Course Correction

    • Ensure plans align with budget, staff capacity, and organizational priorities.
    • Elevate concerns early when assumptions or timelines shift.
    • Coordinate with the Awareness Committee to promote events and meet attendance/financial goals.

    Board Communication

    • Provide periodic updates on readiness, risks, needs, and learnings.
    • Reinforce shared responsibility across the Board, staff, and volunteers.
    • Ensure event information and lessons learned are documented in shared systems.

    What Success Looks Like

    • Events have a clear purpose, realistic scope, and adequate staffing.
    • Volunteer roles are well‑defined and supported.
    • Risks are identified early, not reactively.
    • The Board and Executive Director feel aligned and informed.
    • Events are energizing and sustainable, not burdensome or chaotic.

    Ideal Skills & Experience

    • Experience in event planning, logistics, project coordination, hospitality, or volunteer management (nonprofit experience optional).
    • Strong organizational and facilitation skills.
    • Ability to lead volunteers with clarity, encouragement, and shared purpose.
    • Comfort navigating trade-offs around scope, time, and capacity.
    • Reliable, proactive, and able to keep plans moving.

    Time Commitment

    • All board members are required to attend quarterly virtual board meetings, a 1-day in-person strategy session (Sept/Oct), and attend 2–3 events annually.
    • Event Committee Lead: ~ 3–5 hours/month for planning, coordination, and meetings, plus additional time during major events (defined in advance). Minimum 1-year commitment in the role.
