Administrative Assistant Job Description

The Emily Shane Foundation, a registered 501(c)3 nonprofit charity organization, is dedicated to empowering underserved/disadvantaged middle school students who risk academic failure. Our comprehensive, unique educational initiative, the SEA (Successful Educational Achievement) Program, provides academic tutoring and mentorship to these children to guide them to reach their best academic and personal potential. We are committed to helping these students realize their aspirations and fulfill their dreams.
Description:
- This a remote position, but candidates in or near Malibu are encouraged to participate in events and fundraisers in person. The position offers flexible hours, typically requiring 2-4 hours of work per week.
- The selected candidate will provide administrative support across various areas, including but not limited to: handling invoicing, revising, editing, or updating SEA Program documents, updating agreements with partnering entities, tracking numerous SEA Program documentation, assisting with Emily Shane Foundation (ESF) marketing materials, and liaising with SEA Program staff (i.e. mentor/tutors) to obtain information. Additionally, they will verify required reporting from SEA Program staff (i.e. mentor/tutors) to ensure submissions.
Responsibilities May Include:
- Track, review, and update all SEA Program documentation as necessary.
- Review and record mentor/tutor reports from specific sites and notify area coordinators and SEA Program management of any positive feedback and/or concerns.
- Assist in organizing the list of auction items for future online auction events, including loading items onto the online auction software if needed.
- Aid in updating and correcting draft documents required for events, fundraisers, or online postings.
- Review submitted surveys and questionnaires to gather quotes for postings, newsletters, etc.
- Update the SEA Program Master List as needed throughout the school year in collaboration with SEA Program management.
- Track the submission of all surveys and questionnaires and other required reporting throughout the school year.
- Possibly provide assistance with training or orientations.
- Assist in researching potential grants and funding sources for the foundation.
- File all appropriate documentation on shared folders and drives, including weekly required recaps and photos/screenshots on the foundation's social media drive.
Desired Skills:
- Effective communicator who responds promptly.
- Exceptional organizational skills.
- Self-starter capable of prioritizing tasks and staying updated on assignments.
- Proficient in Google Forms, Drive, Docs, Microsoft Office, Excel, Dropbox, and other computer applications.
- Knowledge of Webflow is beneficial but not required.
