    Volunteer Executive Assistant (Part-Time, Remote)

    Women Empowered International (WEI) is seeking a highly organized and motivated Volunteer Executive Assistant to be the backbone of our remote leadership team. This is a chance to move beyond routine administration and directly enable the strategic capacity of our Executive Director.     Position Summary

    The Volunteer Executive Assistant will provide high-level administrative support to the Executive Director and leadership team. This role is ideal for someone who is organized, proactive, and passionate about supporting a mission-driven organization. The Executive Assistant will help ensure smooth day-to-day operations and contribute to the overall effectiveness of WEI’s leadership.

    Key Responsibilities

    Administrative & Operational Excellence

    • Executive Coordination: Manage complex calendars, schedule meetings (internal and external), and coordinate virtual events, proactively resolving scheduling conflicts.
    • Meeting Management: Prepare detailed agendas, accurately take meeting minutes, and meticulously follow up on action items to ensure organizational accountability.
    • Document Control: Assist with email correspondence, document preparation (reports, presentations, proposals), and maintain a secure, organized digital file structure in Google Drive.
    • System Maintenance: Help maintain and update organizational systems and databases, ensuring data integrity across various platforms.

    Communications & Research Support

    • Internal Liaison: Support internal communications and coordination across departments (Programs, Development, Finance), acting as a central clearinghouse for critical information.
    • Research: Conduct targeted research and compile concise information summaries for the Executive Director, aiding in strategic reports and presentations to the Board and key stakeholders.
    • General Support: Provide general administrative support as needed to ensure the Executive Director's focus remains on high-level strategy and fundraising.

    Qualifications

    Essential Qualifications

    Organizational Excellence: Strong organizational and time management skills; highly detail-oriented with an ability to manage shifting priorities.

    Previous experience as an executive or administrative assistant for senior leadership.

    Communication: Excellent written and verbal communication skills; ability to draft professional, polished correspondence.

    Familiarity with nonprofit operations or the complexity of international organizations.

    Technical Proficiency: Proficiency with Google Workspace (Docs, Sheets, Calendar, Drive) and Zoom.

    Experience with CRM software (e.g., Salesforce, HubSpot) or project management tools (e.g., Asana).

    Work Ethic: Self-motivated, proactive, and able to work independently with minimal supervision.

    Discretion: Ability to handle sensitive and confidential organizational information with the utmost discretion.
