    Description

    Position Summary:

    The Volunteer Manager plays a critical role in supporting the day-to-day operations of g3 Games by developing, coordinating, and supporting the volunteer team. This role ensures that volunteers feel welcomed, prepared, appreciated, and empowered to contribute meaningfully to g3 Games’ mission. The Volunteer Manager works closely with the Executive Director to build sustainable systems for recruitment, scheduling, training, communication, and engagement.

    This is an ideal role for someone who loves people, community-building, and creating supportive environments where volunteers thrive.

    Key Responsibilities:

    • Volunteer Recruitment & Onboarding
      • Manage the volunteer application and screening process.
      • Conduct introductory calls, interviews, or information sessions with prospective volunteers.
      • Develop and maintain clear onboarding materials and role descriptions.
      • Match volunteers to appropriate roles based on skills, interests, and organizational needs.
    • Scheduling & Coordination
      • Coordinate volunteer assignments for weekly game nights, community events, and special programs.
      • Maintain updated calendars, rosters, and staffing lists.
      • Communicate schedule updates, confirmations, and reminders to volunteers.
      • Ensure appropriate gaffing levels for all ongoing and one-time events.
    • Training & Support
      • Provide orientation, role guidance, and expectations for all new volunteers.
      • Support the Executive Director in designing training resources.
      • Check in regularly with volunteers to ensure clarity, comfort, and readiness.
      • Identify opportunities to improve volunteer effectiveness and event flow.
    • Volunteer Engagement & Retention
      • Foster a positive, inclusive, and appreciative volunteer culture.
      • Create opportunities for skill-building, growth, and meaningful volunteer recognition.
      • Plan periodic volunteer meetups, appreciation events, or communication touchpoints.
      • Gather feedback and implement improvements to strengthen volunteer satisfaction.
    • Administration & Record-Keeping
      • Maintain accurate volunteer records, including attendance, skills, and status.
      • Update volunteer contact lists and group communication channels.
      • Track volunteer hours and report engagement metrics to the Executive Director.
      • Assist with policy and procedure development as needed.
    • Collaboration & Communication
      • Work closely with Event Leads, Program Managers, and Team Coordinators.
      • Join monthly leadership meetings and support cross-team communication.
      • Provide updates on volunteer needs, challenges, and successes.
      • Uphold and promote g3 Games’ culture, values, and mission in all interactions.

    Qualifications

    • Required
      • Passion for building community and supporting volunteers.
      • Strong communication, interpersonal, and organizational skills.
      • Ability to maintain positive relationships with diverse groups of people.
      • Comfort with digital tools (Google Workspace, Discord, Meetup).
      • Dependable, self-directed, and committed to g3 Games’ mission.
    • Preferred
      • Experience in volunteer management, people operations, event coordination, or community programs.
      • Experience with nonprofits, gaming communities, or grassroots organizations
      • Ability to contribute to policy, systems-building, or process development.
