    Role Overview:

    Mentor A Promise is seeking a meticulous and structured Document Governance Lead to oversee organizational document management, version control, file standardization, and compliance tracking. As MAP scales its programs and volunteer network, this role will establish and enforce clear governance frameworks to ensure all internal documents, tracking templates, policies, and SOP repositories remain accurate, secure, easily accessible, and audit-ready.

    Key Responsibilities:

    • Document Lifecycle Management: Coordinate the review and ingestion process for new documentation. Ensure that files written by specific divisions are reviewed by the correct cross-functional teams, then handle the final taxonomy, apply metadata, log them into the organizational register, and securely place them in the master repository.
    • Framework & Standards Enforcement: Implement and maintain uniform naming conventions, folder hierarchies, version control protocols, and metadata standards within cloud file repositories (specifically Google Drive).

    SOP Repository Maintenance: Maintain a centralized, master repository of Standard Operating Procedures (SOPs), onboarding checklists, compliance tracking templates, and institutional policies.

    Quality Review & Auditing: Regularly audit shared drives and documentation hubs to identify outdated files, broken links, or unauthorized modifications, ensuring information accuracy and data security.

    Collaboration & Access Control: Partner with administrative and leadership teams to define user permission levels and secure data-privacy protocols.

    Guidance & Support: Act as the internal resource for staff and volunteer teams regarding document formatting standards, templates, and best practices in knowledge management.

    Qualifications:

    Passion for MAP’s mission and commitment to organizational equity and transparency.

    Experience in document control, knowledge management, technical writing, legal/compliance administration, or operations support.

    Exceptional organizational skills, acute attention to detail, and a structured mindset.

    High proficiency with cloud storage platforms, document management tools, and workspace suites (Google Workspace, Microsoft 365, Notion).

    Strong written communication skills with the ability to draft clear documentation policies.

    Minimum 6-month commitment preferred; approx. 5–10 hours per week.
