    Description

    • The Institute for Therapy through the Arts (ITA) has ongoing event planning volunteer needs for our Healing Arts Celebration (HAC). We are seeking between 5-8 volunteers to assist in planning our HAC, which is our annual fundraising gala on June 25th, 2026, from 6-9 pm in Evanston, IL. This will be a lovely event with a buffet, silent auction, creative art therapy experientials, an engaging program, and so much more! We need your help with everything from planning decor, to-day-of-event set-up, soliciting items for our silent auction, and everything in-between! Here are a few ideas of how you might help out:

    Sponsorship and Table Sales Chair:

    • Work with the Event Chair and Development Director to ensure the sponsorship and table sales for the event is complete, and fundraising goals are met.
    • Determine the best targets for sponsorship partnership
    • Work with the committee to solicit and secure sponsorships
    • Review the final program and make sure it is ready for print
    • One general committee meeting monthly until 6 weeks prior to the event, then weekly meetings to check in

    Sponsorship Committee Member: solicit sponsorships, attend 1 meeting monthly

    • 2-3 volunteers needed
    • Review the final program and make sure it is ready for print

    On- Site Fundraising Activities Chair (Silent Auction/ Raffle Chair):

    • Help recruit other committee members (2-3 ideally)
    • Determine day-of-event fundraising activities such as silent Auction, raffles, and head or tails
    • Set goals for how many in-kind items to procure (last year we had 40)
    • Solicit items for fundraising activities
    • Curate appealing packages
    • Day of Event: lead set up.
    • One meeting monthly until 6 weeks prior to the event, then weekly meetings to check in.

    Committee Member:

    • Solicit items for fundraising activities
    • Day-of-Event: help set up

    Decor Chair:

    • Determine the look and feel of the event.
    • Source and/or solicit decor items
    • Day of Event: Lead the set-up of decor on site.
    • In partnership with the Marketing Manager, co-create necessary signage and coordinate with the Silent Auction/Raffle Chair to support signage needs.
    • Work with ITA Marketing Manager for brand print consistency across signage and decor.
    • One meeting monthly until 6 weeks prior to the event, then weekly meetings to check in.
    • Decor Committee members:
    • 2-3 volunteers needed
    • source or solicit materials
    • Help with set-up on the day of
    • Up to 5 volunteers needed (depending on what decorations they land on)
    • One meeting monthly

    Technology Chair:

    • Work in collaboration with the Marketing Manager to produce and deliver all audio-visual needs for the event
    • Recruit volunteer videographer
    • Produce any AV assets we need for the event
    • Ensure that any equipment we need is at the venue and in working order
    • One meeting monthly until 6 weeks prior to the event, then weekly meetings to check in.

    Committee Member:

    • Help produce any AV assets we need for the event
