    Description

    Grounded Boots Relief is seeking a volunteer Event Planner to help coordinate and strengthen the planning and execution of our events. These include volunteer work days, fundraising events, community outreach, trainings, and other organizational gatherings that support both our crisis response and long-term recovery programs.

    The Event Planner plays a critical logistics role by coordinating vendors, supplies, food, and operational requirements before events take place. This role works closely with the Volunteer Coordinator and leadership team to ensure each event is appropriately staffed, equipped, and supported.

    While this role can be performed remotely, we strongly encourage the ability and willingness to attend events when possible. Being present allows the Event Planner to better understand on-the-ground needs, assist with setup or delivery of food and supplies, and apply real-time lessons to future planning. The ability to transport food, materials, or small equipment to events is a strong plus.

    Key Responsibilities

    • Coordinate event logistics, timelines, and requirements
    • Communicate with vendors, partners, and service providers
    • Work with the Volunteer Coordinator to estimate volunteer needs, food quantities, and support roles
    • Coordinate food arrangements and, when possible, assist with delivery to event sites
    • Ensure required equipment and supplies are secured for each event, including outreach materials or field tools as appropriate
    • Assist in requesting donated or discounted food, services, or supplies on behalf of the organization
    • Collect and apply post-event feedback to improve planning and execution

    • Organized and detail-oriented
    • Comfortable communicating with vendors and community partners
    • Confident and respectful when requesting donations or discounts
    • Able to work independently while coordinating closely with a team
    • Willing and able to attend events when possible, including assisting with food or supply delivery
    • Interested in supporting disaster response and long-term community recovery efforts
    • This role is ideal for someone who enjoys planning, logistics, and coordination, and wants to make a tangible impact both behind the scenes and, when able, in the field.

    Volunteer opportunities vary by program and location. Some roles are local and ongoing, while others are deployment-based or remote. Participation is always voluntary, and volunteers may accept or decline opportunities as their availability allows.

    Once onboarded, volunteers will receive updates about upcoming opportunities, trainings, and events. We ask all volunteers to communicate clearly, follow safety guidance, and represent Grounded Boots Relief with professionalism and respect.
