    Are you highly organized, detail-oriented, and passionate about creating a smooth and welcoming experience for new volunteers?

    At the Veteran Project Manager Mentor Alliance (VPMMA), we are a 100% volunteer-driven nonprofit dedicated to supporting service members, veterans, and military spouses in advancing their careers in project management.

    As an Onboarding Coordinator, you will play a critical role in guiding new volunteers from application to placement. Your work will help ensure every candidate receives timely communication, a positive first impression, and a successful start within our organization.

    Position Details:

    Position Type: Volunteer

    Location: Remote

    Commitment: ~3–5 Hours/Week

    Reports To: Volunteer Program Manager

    Alternative Reporting: Chief Volunteer Officer

    What You’ll Do (Impact: ~3–5 Hours/Week):

    You will focus on managing volunteer intake, onboarding logistics, and ensuring a professional and organized experience for incoming volunteers.

    Intake & Pipeline Management

    • Track applicants from initial application through final placement
    • Maintain visibility of all candidates in the onboarding pipeline
    • Ensure timely movement of volunteers through each stage

    Candidate Scheduling & Communication

    • Schedule interviews or introductory calls with leadership/team leads
    • Send confirmations, updates, reminders, and welcome communications
    • Provide a professional and positive first impression of VPMMA

    Documentation & Orientation

    • Track required forms and onboarding documentation
    • Coordinate volunteer orientation sessions
    • Confirm facilitators and logistics for each onboarding session

    Volunteer Integration

    • Answer onboarding questions from new volunteers
    • Guide volunteers through next steps after orientation
    • Coordinate handoff to managers/team leads for placement

    Reporting & Process Improvement

    • Provide updates to leadership regarding onboarding activity and pipeline status
    • Maintain current onboarding procedures and resources in the knowledge base
    • Recommend process improvements for a smoother volunteer experience

    Cross-Functional Support

    • Assist with recruitment messaging, volunteer communications, and HR-related announcements as needed

    Reliable & Proactive

    You follow through, stay organized, and anticipate next steps.

    Tech-Savvy

    Comfortable using Google Workspace, spreadsheets, shared drives, or tracking systems.

    Mission-Driven

    Passionate about supporting veterans, service members, and military spouses.

    • Commit to a regular volunteer schedule and complete assigned tasks
    • Uphold professionalism and the VPMMA Code of Conduct
    • Maintain confidentiality of applicant and organizational information
    • Communicate proactively regarding availability and deadlines
    • Participate in onboarding and ongoing training opportunities
